Duties and Responsibilities as EXECUTIVE SECRETARY:
Provide administrative and clerical support to departments or individuals.
Schedule meetings and arrange conference rooms.
Alert manager about cancelations or new meetings.
Manage travel and schedule.
Handle information requests.
Prepare correspondence and stuff mail into envelopes.
Arrange for outgoing mail and packages to be picked up.
Prepare statistical reports.
Manage spreadsheets.
Prepare confidential and sensitive documents.
Coordinates office management activities.
Determine matters of top priority and handle accordingly.
Prepare agenda for meetings.
Takes and transcribes dictation.
Helps prepare office budget.
Plans events and volunteer activities.
Maintain office procedures.
Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
Operate office equipment, such as photocopy machine and scanner.
Coordinate committees and task forces.
Relay directives, instructions and assignment to executives.
Receive and relay telephone messages.
Direct the general public to the appropriate staff member.
Maintain hard copy and electronic filing system.
Organizing Sales Rally every quarter
Duties and Responsibilities as Admin Assistant:
❖ Encoding all the records of the dealer from their demonstration.
❖ Encoding Weekly report from all of the Branches, Sharjah, Al Ain, Dubai, Abu Dhabi, Egypt, Dammam, Riyadh, Jeddah, Oman.
❖ Preparing Monthly report for all offices
❖ Preparing Monthly report for our Branch.
❖ Preparing all needed from meeting room and telemarketing.
❖ Preparing all the necessary needed to be approved by the Big Boss
❖ Preparing Salary for all branches.
❖ Checking the arrival of machines from the store in Sharjah.
❖ Prepares daily, weekly and monthly reports for orders.
❖ Prepares all the details needs for auditing.
❖ Assist the need of clients.
❖ Draft, prepares letters and communications
❖ Does binding of files, sorting of mails, fax
❖ Filing and keeping all documents.
❖ Answering incoming and placing outgoing calls.

Duties and Responsibilities:
Human Resource Coordinator:
Sorting Cv’s
Doing initial interviews per categories needed by client
Arranging out of town interviews
Preparing all the requirements such as offer letter and contracts
Deploying workers to Dubai, KSA, Qatar
Making sure that the workers will instructed.
Supporting the Managers within the group in terms of correct procedures and policies.
Arranging lunches with for client visits and getting the room ready for the clients. (if needed serving the lunches and refreshments).
To be the main point of contact for general HR enquiries from both internal and external customers, referring queries where necessary to the appropriate member of the team.
Legal Assistant:
❖ Receiving all the documents from NLRC, POEA and Labor Office
❖ Attending hearing from all provinces and NCR.
❖ Out of town settlement.
❖ Forwarding documents to our Lawyer to prepare Documents needed.
Secretary/Project Processor
❖ Prepares proposal and estimation sheet for every project..
❖ Prepares daily, weekly and monthly reports for orders.
❖ Assist the need of clients.
❖ Draft, prepares letters and communications
❖ Does binding of files, sorting of mails, fax
❖ Filing and keeping all documents.
❖ Responsible in coordinating the schedules of meeting with various clients.
❖ Answering incoming and placing outgoing calls.
❖ Preparing all the documents for visa stamping and poea processing
❖ In charge of booking, preparing medical report of applicants etc.
❖ Follow ups of papers necessary for documentation
❖ handles the company documents for documentation
❖ Assist the Company requires by the poea
❖ Responsible in Saudi embassy and poea encoding
