Responsible for all secretarial supports involving correspondence, records, reports, data files, daily & monthly attendance.
Dispatches service calls, answer the telephone and keep the office running efficiently
Monitoring of different maintenance or services as requested by our department.
Manages the personnel profile and documents.
Responsible for filing vacation and sick leave forms.
Maintaining laborers and staff joining report, personal transfer report.
Provides training to new hired or transferred staffs in the department for a given tasks.
Attends and Entertains inquiries through phone or emails.
Sorting and distributing incoming & outgoing mails.
Preparing, issuing and Attends Department Incoming and Outgoing files.
Coordinates with Suppliers, regarding Requisition, LPO’S, MEMO’s and other related documents regarding the systems functional needs.
Document Controller (Up-keeping hard copies and softcopies, e-files)
Processing and uploading overtime of workers that need to submit to Accounts Payroll Department in a given time.
Making summary report of attendance for manpower (Labor & Staff) on a daily and weekly basis.
Coordinates with Sites timekeeper and Admin Head on daily basis regarding daily attendance and overtime.
Verifies that all hours and other data have been accurately input and downloads the information to Payroll on a bi-weekly basis. Compiles, copies, and sends documentation to Payroll.
Quality Assurance of reports data => double checking the reports of the timekeeper based on the actual work data or based on the expected overtime of the workers.
Provides accurate information and procedural advice on payroll and Time and Attendance issues to inquiries from timekeepers and managers in a timely and courteous manner.
Maintains documentation and Coordination between company Employees and Admin Dept. representative concerning of the sites we are connected for their personal/work requirements.
Manages finalization of system processing documentation using SQL database
Maintains the Time and Attendance (T&A) system by entering hours worked and other employee data on a daily basis using Multimax Enterprise and SKM software regarding Electronic attendance, Payroll, Access Control, and overtime of the Site labors and staffs.
Prints, sorts and distributes payroll hours reports for verification and adjustments.
