Provide administrative and secretarial support to the Executives and handle routine administrative tasks under minimal supervision. Coordinate, manage and document regular staff meetings at the Directorate as well as Professional Translation of both Professional Translation of laws, regulations and other articles to their equivalent in both Arabic & English and submit drafts for senior manager at HSE Regulation & Enforcement Directorate at Qatar Petroleum. Implement electronic document management system as well as hard copy records. Document regular meeting minutes in the Directorate to enhance formality in accordance with QP regulations. Ensure all projects documentations are controlled in accordance with procedures for document control. Process, control and administer incoming and outgoing documents (submittals, transmittals, specifications, correspondences etc.). Ensure proper documentation, handling, safe storage and easy retrieval of information. Type memos, letters, e-mails, minutes and prepare documents and presentations according to requirements and instructions. Coordinate with the other employees on behalf of the Executives about information gathering / sharing, and following-up. Maintain and process documents for the Executives’ review and signature. Assist in preparation reports for various project parties in timely and accurate manner. Screen incoming telephone calls, letters and e-mails, and filter them based on priority and importance. Diplomatically handle interactions over calls to direct or hold calls appropriately. Follow up and expedite priority items with relevant managers, personnel, consultants and other parties. Assist improvement to document control processes and procedures. Manage the daily and weekly schedule and maintain the appointment calendar for the Executives. Liaise with concerned parties for meetings to ensure smooth coordination.
