• Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
• Verifying attachments, Revision number etc. for any document to ensure the completeness and distribute to the concerned department/personnel.
• Distribute all the technical documents issued by the Contractor/Consultant to all relevant Engineers as well as Department Heads.
• Handled the tasks of preparing records and keeping files by using paper-based and electronic Systems (Electronic document management systems (EDMS)).
• Creating, Updating, Tracking, Controlling & Maintaining the standard registers (Log) for various document submittals and Input document data into the standard registers ensuring that the information is accurate and up to date.
• Responsible for Control/Track/Issue of complete project documentation such as incoming and outgoing (correspondence, Material Submittal/Approval &, Method Statement, Pre-qualification, ITP-Inspection & Test Plan, , RFC, NCR -Non-conformance Report, Shop Drawings, Red-Mark drawing, As-Built Drawing, RFIT-Request for inspection &test, MIR-material Inspection Request, Work Notification )., etc...Submittals and other forms of pertinent documents from the client and subcontractors.
• Upload Documents Project wise and SharePoint as per client requirement.
• Make sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable.
• Responsible for managing emails, queries and distributing to the concerned personnel for their information and action.
• Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
• Perform document quality check in accordance to company policy.
• Effectively follow the Company's Standard Operating Procedure in submissions of documents.
• Maintain confidential records and files.
• Maintain and arrange schedule of weekly meetings. Duty includes set-up and coordinate meetings.
