* To manage, prioritise and track the COO’s work to ensure the Designated Manager daily
workload is balanced.
* To advice secretaries in interpretation of Company policies and procedures.
* To advice and solve people problems, redirecting them and helping in developing Company
policies and procedures.
* To participate in the management of Designated Manager personal affairs as required
* Be the point of contact for all international subsidiaries
* To assist the COO in Daily Business Activities and meetings

Administration for Project Management (Maintenance and Repair Department)
* Responsible for daily administrative activities of the executive office such responsibilities include
handling incoming and outgoing documents and offering administrative advice when needed.
* Act as point of contact for all subsidiaries and track all incoming requests
* Oversee the communication procedure between HMG Project Management Kuwait and USA
offices and make sure that the process takes place efficiently
* Make the payment orders and follow up with finance team regarding the same
* Verify the job orders received
* Prepare daily and periodic reports for all incoming and outgoing requests
* Prepare the summary for all reports prepared by employees and review the accuracy of the
information in each report and present the summary report to the Management
* Assist with secretarial and administrative support to all HR Personnel.
* Receive and send all Confidential and Non confidential documents for the Human resource
department.
* Document/record information, maintain files, process all paper work and to perform all day to day
administrative tasks.
* Use computer word processing, spreadsheet, and database software to prepare reports, memos,
and documents.
* Assist with Recruitment and joining formalities of Employment.
* Sorting out visas and forwarding them to the concerned recruitment agents / individuals and
keeping track of arrivals of candidates.
* Assist HR Personnel’s with Courier service requests, office service request, IT forms and tickets,
visa application, outgoing memo’s, interview skill test reports, application forms for manual
candidates.
* Assist with contracts - filling in application forms (Official use Sections) and Interview skill test
reports, check all documents in contracts before and after getting signed and filed.
* Log and file all open and cancelled staff requests and manpower requests.
