DESIGN PROJECT COORDINATOR
THE INDEPENDENT FOOD COMPANY/ CREATIVE TEAM - DUBAI/ UAE SEPTEMBER 2019 - PRESENT (SIX MONTHS CONTRACT)
THE INDEPENDENT FOOD COMPANY is a UAE-based hospitality company with multiple concepts under it’s umbrella - SALT, Switch, Parker’s, Candy, Grind, Somewhere and Public.
LIST OF PROJECTS WORKED ON TO DATE:
1- SALT - Kite Beach Branch
2- SALT Winter Popup - DIFC
3- Parker’s Farm House - Dereiyah/ KSA 4- Public - Dubai Mall
5- SALT - Dubai Mall
6- Somewhere - Dubai Culture
OVERVIEW OF MY ROLE:
As a part of the Creative Team, I was involved in all the phases of whichever project we were handling at the time, be it a new branch opening or an event, which started from the brain storming sessions to come up with the concept, up to the execution and making everything come together.
Being a part of such a diverse team with different cultural and educational backgrounds taught me a lot and broadened my horizons in different areas.
RESPONSIBILITIES: 1- GENERAL SCOPE
- Managing multiple projects simultaneously.
- Researching and investigating project requirements in advanced to avoid project delays.
- Liaising with stakeholders to identify and define project requirements, scope and objectives.
- Coordinating project schedules, resources, equipment and information.
- Break projects into doable actions and set timeframes.
- Coordinating internal resources (Creative, Procurement, Accounting, Fleet, Operations & Maintenance departments) and third parties/vendors for the flawless execution of projects.
- Ensuring that the stakeholders’ needs are met as the project evolves.
- Monitoring project progress and handling any issues that arise throughout.
- Acting as the point of contact and communicating project status to all participants.
- Creating and maintaining comprehensive project documentation, plans and reports.
- Preparing progress reports for stakeholders.
- Maintaining strong relationships with in house teams, stakeholders, contractors & suppliers.
2- CONTRACTORS & SUPPLIERS
- Obtaining bids from contractors and suppliers by specifying materials, identifying qualified subcontractors, negotiating the prices and delivery terms.
- Discussing plans and details with contractors to make sure everything is communicated upfront.
- Supervising appointed contractors’ work plan and execution process through regular site visits to insure that everything is running smoothly.
- Checking on quality of work, and making sure everything is done to standards and within the project’s time frame.
- Following up with accounting department on upcoming payments for contractors and suppliers.
- Following up on the project after opening to check on the situation and organize regular maintenance if needed.
- Monitor furniture production from mock up stage up to delivery. 3- PROCUREMENT & LOGISTICS
- Heading and managing procurement of selected materials.
- Obtaining permits for work & deliveries (Worked with DIFC, Dubai Mall Management, Meeras)
- Supervising installations/ deliveries and making sure everything is done up to standards.
Preparing and maintaining a list of all existing equipment and furniture that can be utilized.
- Coordinating with Fleet department to make sure everything is done and delivered on time.
4- DESIGN
- Working with the creative team starting from conceptualization to insure everything is executed properly.
- Overseeing the design progress against schedule and budget.
- Facilitate resolving design issues with stakeholders.
- Prepare furniture layouts.
- Create mood boards when needed.
- Evaluating the design process and looking for opportunities to improve efficiency.
- Checking on layouts to make sure everything is suitable for operations and activations. - Adjusting the design of the space depending on the needs.
- Meeting with suppliers regularly to stay up to date on all available materials and finishes in the market.

RESPONSIBILITIES:

1- OFFICE MANAGEMENT
- Coordinating the team to oversee daily operations, ensuring operations are kept up to date.
- Preparing & maintaining paper and electronic filing systems for records, correspondence and other material.
- Maintaining up-to-date records and documentation for the office (i.e. insurance, completion certificates, approvals, trade license, employee documents )
2- CLIENT RELATIONS
- Attending meetings with potential clients to understand the scope of work and collect project data.
- Preparing progress reports to client/consultants.
- Acting as the main line of contact between the client and the Manager/ Team.
3- PROJECT MANAGEMENT
- Manage multiple projects simultaneously.
- Preparing quotations and sending them to potential Clients.
- Researching and investigating project requirements and in advanced to avoid project delays.
- Preparing detailed BOQ and cost estimates during design concept (look & feel), preliminary and detailed design stage.
- Material planning and procurement.
- Budgeting and cost estimation.
- Obtaining bids from vendors and subcontractors by specifying materials, identifying qualified subcontractors, negotiating the prices and delivery terms.
- Coordinating with the suppliers & local sub-contractors.
- Checking on changes of design to assess the effect on cost.
- Documentation, billing, and preparing invoices.
- Book keeping for project expenses.
- Closing project files and maintaining project storage log.
4- SOCIAL MEDIA & MARKETING
- Tracking all business development activities, analyzing weekly progress and suggesting new strategies.
- Over-seeing social media marketing campaigns including creating content and advertisement strategy.
- Contacting photographers, videographers, and requested designers for content creation.
