Assist in reviewing documentation in relation to the
engagement of Consultants & Individual contractors in accordance with relevant rules & regulations and guidelines for divisions such as UNHCC, FMS, ACS and SRO offices;
creates and maintains files and updates the database on a regular basis;
performing staff administration services such like entitlements, benefits and staff services to staff members of higher and lower levels in my respective divisions, UNHCC & FMS, ACS and SRO’s;

AFRICAN COMMITTEE (IAC), ON HARMFULL TRADITIONAL PRACTICES AFFECTING THE HEALTH OF WOMEN AND CHILDREN, ADDIS ABABA ETHIOPIA
RESPONSIBILITIES:
Keeping the IAC's Foreign Currency account at the Economic Commission for Africa (ECA) in Addis Ababa. This task involves knowledge of the United Nations Finance/Banking rules and regulations, preparation of various vouchers and letters and follow-up reconciliation's.
Corresponding with the international donors of the IAC to ensure prompt dispatch of accurate financial reports including audited accounts. Liaise constantly with IAC Liaison office in Geneva to reconcile the UN and Swiss Bank Accounts respectively.
Keeping the NR (Dollar) and Local account of the IAC at the commercial Bank of Ethiopia, ECA branch. This task entails joint decisions on payments in foreign currencies and monitoring the requisite transactions, monthly reconciliations with the Branch Manager and his heads of division, are also routine.
Carrying out responsibilities in connection with hotel transactions and payment of DSA etc. during Regional conferences in Addis Ababa and abroad.
Negotiate United Nations hotel discount rates for visiting Donors and members of the IAC's twenty-eight affiliates
in and abroad.
Arranging duty free transactions including Liaison with the relevant government Ministries/Departments, and supervising clearance procedures.
Holding work advances and petty cash (during the absence of the petty cashier)
Prepare purchase vouchers and cheques for official payments.
Co-sign cheques with the IAC officers.
Preparing requisite audit exercises.
Submitting financial reports to IAC Liaison office & Donors.

RESPONSIBILITIES:
Maintaining journal and ledger of the organization.
Monitoring the monthly bank reconciliation and financial assistance from Donors.
Effecting in-country procurement supplies.
Monitoring/supervising external procurements and clearance of donated equipment and supplies.
Preparing quarterly activity reports.
Assisting external auditors in annual audit exercise.
