Job Profile:
•Exposure in chemical industry experience in leading a small group of document controllers, managing lab & trading documents, control team in addition to the execution of my own document control duties.
•I am responsible for the effective and efficient document control of all laboratory & trading documents, in accordance with the established procedures.
•I am responsible for maintenance and continual improvement of document control management.
•Daily routine activities of document control, including distribution of documents, maintaining electronic folders and directories, tracking and retrieval of documents and drawings.
•Maintain registers of all receipts and issues or submissions of documents and correspondence.
•Ensure the effective running of day to day operations of the document center.
•Looking after the filing, photocopying and binding of records.
•Reviewing all data entered to ensure its accuracy.
•Promptly responding to inquiries regarding any data entered.
•Designing new spreadsheet and manipulating old ones so that new data fields can be created.
•Monitoring and reporting on the accuracy and timeliness of data transfer.
Processing Payments, Staff Claims, Dealing with customer complaints.
•Answering telephone calls, taking care of post and tracking mail.
•Coordinating with Head Office regarding material purchase.
•Inputting information and files into a system within the agreed timescales, and in an accurate and diligent manner.
•Assigning work to ensure good floor management and effective customer service.
•Ability to plan, organize, lead and coordinate the document control functions within a multidisciplinary group.
•Maintaining a file system in purchase department and updating appropriate records when required.
