Conferencing and Events:
Disciplinary experience in the management of corporate & private event management projects, involving the overall , administration, budget control, procurement and client management.

Consultancy and Co-ordination
• Establishment of the appropriate event procedure, services, resources and facilities
• Analysing the requirements for the event in relation to registration, meetings, accommodation, exhibition and destination requirements
• Management of overall operations, including accounting procedure and service providers agreements

Administration
• Registering of delegates online and management of correspondence and changes
• Receipting of funds from delegates
• Design and maintenance of the event database.
• Preparation of reports and meeting packs
• Budget and financial management relating to appointed service providers

Material and logistical Preparation of the Event
• Verifications of services to be supplied including technical equipment, audio visual equipment and catering, signage, vehicle parking facilities, telephone, fax and computers
• Establishing reception facilities and committee offices on site
• Establishing a travel agency desk and congress information office at the official event venue

Management and Registration of Participants
• Preparation and design of registration form in association with the local organising committee
• Linking registration form to the relevant websites
• Receipting and processing of the registration forms through Summit Pro Software for Event Management
• Accounting and financial management of registration fund
• Processing registration amendments and updating computer systems
• Establishing participation statistics and profiles
• Managing the registration process at the event venue of any additional, late or day delegate registration on site
• Handling of all registration finance eg. Cancellations, refunds, debit balances etc
• Printing of participant lists or reports by number, nationality, category or other criteria which may be appropriate

Management of Accommodation
• Securing accommodation allotments with hotels, which are to be pre-selected and contracted
• Processing all accommodation reservations and amendments through Summit Pro Software Event Management System
• Arranging accommodation for guest speakers and nominated VIP’s
• Process payments from delegates for accommodation, forward funds to hotel together with rooming lists and reports

Management of Local Host or Host Committee Secretariat
• Attend local organising committee and other related meetings
• Recording, preparation and circulation of minutes

Budget and Financial Management
• Responsible for the compilation and calculation of event budget in accordance with the detailed program, activities and social functions as outlined by the client
• Management of the expenses in accordance with the approved budget
• Responsible for the final account reconciliation after the event

Conference Transport Service
• Arranging a transport service for the appointed service provider for the delegate from the selected hotels to the conference venue / social event venue
• Responsible for the routing, reporting of schedules amendments to the transport company
• Managing payment to transport company from the event funds.
• Facilitating the airport welcome service

Social Function Services
• Liaison with the client to ascertain requirements, discuss budget and make recommendations
• Arrange for catering facilities as required
• Arrange for décor as appropriate
• Determine and arrange technical facilities as required
• Administrative assistance with entertainment and contracts
• Arrange hosts, hostesses and waiters
• Arrange transportation to venues
• Arrange seating arrangements and name tags as required
• Arrange media representation etc
• Arrange ticket design and printing
