P. R. O Services Profile: ☜
• In-charge, full control and supervision over the Public Relations officers
• Preparing Budget (Income and expenses) of the Public Relations department for the easy reference of Finance department
• Handling petty cash upto AED 70, 000.00 to AED 100, 000.00 PER every 1-2 weeks or even more as per the job requirements.
• Encash the cheques and endorse to the P.R.O.
• Ensure accuracy and completeness of data entries and adherence to accounting standards.
• Follow-up with concerned P.R.O the status of each document.
• Ensuring that receipts are received for each payment is done either by P.R.O, Driver, etc & then attaching each receipt with the respective cash advance liquidation.
• Tallying the amount of cash advance request with cash advance liquidation and raising invoices.
• Maintaining the details of Visas (Employment, Mission and Visit or Tourist Visas), Emirates ID's, Temporary work permits, LABOR CARD Details and Passport details (Date of issue, renewal) of all the staffs, and guests (if required)
• Retaining the passports of the employees
HR Assistance Cum Administration Profile:
• Administer and monitor employee benefits, medical insurances, leaves and attendance
• Handling the Hotel reservations and ticket bookings for VIP Guests, Managing Director frequently and sometimes for colleagues occasionally.
• Maintaining attendance book of all employees in our group of companies in a systematic manner
• Facilitate performance appraisals, improve employee satisfaction and resolve diverse HR issues
• Secure, safekeep and maintain company assets, facilities and resources
• Coordination with the HR Manager every month end in case of any traffic fines for employees for deducting salaries in a fair manner, if the fine occurred from the employees part.

• Invoice P. R. O Jobs, Sponsorship fees and Lease agreements as per instruction of the P.R.O Manager in Quick Books
• Handling the Sponsorship fees of all the sponsored companies

Selection of Prices (both ordinary Prices and Special Prices) from Price list.
Sending Price requisitions to the Imports Department for those items that could be availed from Imports Department and Price Enquiry requisition to the Purchasing Department for those items that can be availed locally.
Checking stock status with reference to the received enquiries in the system and verifying physically with Warehouse In-Charge.
Preparing Quotations in Management’s Principle format to certain customers and submitting Technical and Commercial Offers to certain other customers (Government companies like GASCO, ADNOC, ADCO…etc;.) in their format.
Verifying and Cross-checking the Part numbers, unit prices, material descriptions are the same with the quotations offered and the Purchase Order received from Customers.
Purchase Order Acknowledgement for the PO’s received from the customers.
Processing all Sales Orders against the Purchase Orders and expediting soonest delivery.
Preparation of Local Purchase Orders to Suppliers for non-stock items.
Sending Store requisitions based on the Sales Order after cross-checking with the respective PO and Quotation.
Placing Overseas Orders and its regular follow-ups with the Imports Department.
Delivery and Payment Follow-up.
Sending High Value quotation reports (weekly basis) salesman-wise to the Director and BDM.
Updating the status of the quotations (lost or won) mandatory.
HR Assistance cum Administration Profile:
Attending Phone calls without any delay.
Sending Attendance reports of our Group of companies in Abu Dhabi staffs only to the HR Department in Head Office.
Maintaining the details of Visas and labor cards in a systematic way.
Maintaining Date of Birth, Wedding Anniversary dates of all the staffs in Abu Dhabi and Dubai branches and sending them greetings as a representative of the ESMA-SUPERTECHNICAL Family.
Meeting and Greeting clients.
Drafting and mailing Secretarial based letters of the Director occasionally and mailing and faxing letters and documents of P. R. O regularly to the concerned personnel upon the advise of the P. R O.
Assisting Accounts by preparing Cheques and deposit slips.
Receiving and entering incoming faxes related to Enquiries, and Purchase Orders.
Sending Daily Sales Reports which includes the Sales Enquiries, Daily Purchase Orders (With material descriptions and number of items, PO number, PO date, and salesman name) along with the visits of the Sales Engineers and the P. R. O.
Segregating the faxes salesman wise and distributing to the respective persons after every 10 minutes.
Taking stock status of Stationery items and arranging and stocking the items that are getting short in a systematic manner.
Involving in the staffs problems (A/C issues, telephone bills;..etc) and tackling those problems in a pro-active way.
Segregating and directing the telephone bills.
Screening the telephone calls (official/personal) of the staffs.
Connecting “0” dialing calls for the staffs.
Creating Customer codes (new customers on credit basis) upon Management’s instruction based on the approved documents of the Customer (Customer Credit Facility Form + Trade License + Chamber of Commerce Certificate + Replied Questionnaire form) received from Management.
Initiating the Sales team for registering the company’s products with the customer online and thereby registering and updating the company’s various products online once customer’s confirmation is received.
