Manage meeting/speaking engagements and travel commitments to minimize conflicts and optimize productive time. Set up high-level conference calls, board and management meetings and special events. Handle special projects, report creation, calendar management, research and ordering of office supplies. Create highly effective organizational and filing systems, including quick and thorough indexing, filing and storage, resulting in easy access to critical information and streamlined office functioning. Organize personal matters (vehicles fleet log, domestic staff requirements, etc.
Handle all administration aspects and other general duties. Prioritize tasks based on deadlines for tenders, quotation, customer complaints, order acknowledgments and delivery schedules. Prepare supplier payments, petty cash and bank documentation. Assist Finance Manager in basic accounting work (verifying supplier statements, follow-up of contracts, payments due, invoices, etc).
