Maintains records of the board and ensures effective management of organization's records
Manages minutes of board meetings
Ensures minutes are distributed to members shortly after each meeting
Arranging senior management conferences and team building events.
Handling full spectrum of secretarial duties and business support to Chief Executive Officer
Management CEO appointments with appropriate reminders in order to ensure all meetings are scheduled in an orderly manner allowing the CEO to function effectively.
Compile and prepare Monthly Management Executive summary, Business Plans and other presentations as required by CEO for Executive Management reporting and for business evaluation.
Assist in general office administration which includes travel & hotel arrangement.
Ensure all enquiries / complaints / feedback are attended to promptly, professionally, follow up till eventual closure of case
Secretariat for management meeting, preparing reports and presentation materials as well as performs end-to-end event management activities
Working closely with the senior management team, the incumbent must portray a high level of professionalism
Dealing with customers, clients and representatives of various organizations
Petty cash handling.
Handling the administrative activities at the office.
Maintains a monthly, weekly and daily log of appointments, meetings, travel plans and events calendar on a timely manner advising the manager of any possible conflicts in scheduling.
Maintains all required registries log for incoming and outgoing mail, faxes, e-mails and other types of correspondence.
Maintains an organized filing and follow-up systems for all correspondence ensuring that relevant files are kept in order and up to date.
Arranges appointments and meetings; and maintains agenda.
Doing well for all Secretarial Duties (Typing, Filing, Sending and receiving faxes and registering the mail, etc...).
Preparing the correspondences for the customers and clients both in Arabic & English Language.
Follow up for the pending matters.
Provide secretarial support to the General Manager and senior management team.
Ability to work all administrative functions including filing, generating reports and executing correspondence in Arabic & English Language.
Responsible of Personnel Dept. and all matters of that.
Organize and coordinate activities such as Conferences, Exhibitions, Training Courses, Lectures and Seminars, … etc.
Makes travel arrangements (flight and hotel reservation, visa requirements, car rentals etc.) for the manager as required.
Performs standard office procedures including scheduling appointments, processing mails, answering phones and ordering supplies.
Arranges appointments and meetings; takes minutes; and maintains agenda.
Following the orders with the Client.
Management of Reception and Branch Payroll Administrator
Prepare agendas for meetings, take and distribute minutes
Collate and prepare reports
Maintain organizational charts
Handling the official travel and accommodations for executive staff and the guests
Travel arrangements, both domestic & international, accommodation, hire cars, visa applications
PowerPoint presentations
Handling the administrative activities at the office
Initiates follow up actions on pending subjects
Preparing quotations, faxes, letters, sales reports…etc. for Export Dept. and issuing the invoices.
Following the orders with the agents and clients.
Making statistics and diagrams for the Export of Monthly and Yearly Sales as well as clients and countries that dealing with during Jan., 1996 - Aug., 2000.
