• On boarding: Complete and maintain all necessary paperwork and data entry during employee’s on boarding process. Responsible for all new joiner mobilizations, this will include all administrative tasks associated with mobilizations (Flights, Accommodation) for candidates hired outside the country. Initiating work permits and labor approvals. Effectively communicate with candidates throughout the recruitment and on-boarding process to ensure that the process is conducted in a professional manner.
• Renewal: Arranging documentation related to renewal of Visa, labor contract and occupational health card. Provide support to employee’s query regarding dependents visa renewal application. Maintain and monitor the expiry date of employee’s labor contract, visa and food handler card.
• Off boarding: Organizing documents for cancellation of visa and labor. Calculating the final settlement and coordinating with the agency to arrange flight tickets for the leavers to their home country.
• Liaising with MAF Government Relations Department for day to day requirements and application submission.
• Monitoring the medical insurance card for the new joiners, existing staff and leavers. Arranging insurance claims and allocating insurance cards to respective employees.
• Coordination with travel agency: Arrange flight reservations with airport pick and drops, hotel bookings for business travels.
• Follow up on medical reports and receipt arrangement from the contact agency.
• Monitoring payments relates to medical/ Emirates ID/ Agency payments.
• Formulating letters: Salary Certificate, Salary Transfer Letter, NOC and also addressing to employee’s request.
• Ensure that data quality & accuracy are met at all time on SAP software especially data changes/ updates which have direct impact on payroll and benefit.
• Recommend solutions to process failings and contribute to the continuous improvement process.
• Maintain up-to-date Knowledge base content on policies, procedures & FAQs and share the gained knowledge and experience individually within team.
