• Organize and maintain personnel records. Update and follow up internal databases.
• Prepare and support HR documentation - salary certificates, NOC letters and other documents related to employees welfare.
• Support in application of gate passes, offshore/onshore site medical passes, OHC (Occupation Health) factory passes, Trakhees application reports.
• Facilitate smooth transition of HR processes to Akrivia HRMS platform.
• Handle complete recruitment process from posting vacancies till employee onboarding & orientation.
• Coordinate application/renewal of visas, labor cards & Emirates IDs
• Work in coordination with Head of the Departments for Performance management, goal setting, performance reviews & merit increases.
• Discuss the training & development plans of employees with Head of the Departments and assign training courses to employees on the Learning Management portal as per the plan.
• Liaise with external partners, like medical insurance vendors, travel agents and embassies to support company processes.
• Prepare monthly payroll for all employees including overtime, expense claims, deductions, etc.
• Draft organization announcements, support internal communications and other office correspondence.
• Handle day to day HR administration of all companies under the group - Facility Management, Restaurants & Cafes, Real Estate, & Property management
• Recruitment & Resourcing - Accountable for recruitment, interviews, performing background checks and preparing offer letters in line with the UAE laws and company policy. Ensure smooth on- boarding process in terms of paperwork and employee orientation.
• Employee Evaluation - Conducting performance evaluation for existing employees yearly and
probation period evaluation for new employees.
• Payroll - Generate attendance reports, keep track of employee leaves & absences across all companies.
• Travel Arrangement - Manage travel bookings for the management and employees going on leave.
• Employee Records - Maintain & update hard & soft copies of employee files.
• Assisting Public Relations Officer - Provide all necessary documents to the PRO for applications & renewal of visas, labor cards and identity cards for employees, licenses, and accommodation lease renewals.
• Documentation - Draft and update of documents such as job descriptions, employee handbook, performance appraisal, forms, SOP, employee letters, policies, and other HR related documents.
• Employee Exit & Final Settlements - Escalate resignation applications to the higher management, coordinate exit interviews, final settlements, and visa cancellations.
• Insurance - Responsible for Insurance procurement, renewal & cancellations. Follow up with insurance providers for re-imbursements.
• Respond to internal and external HR related inquiries/requests.
• Assist to source the best talent from diverse sources.
• Prepare documents for visa application for Free zone & Private company branches in UAE.
• Prepare attendance & leave records for payroll.
• Handle employee insurance & workmen compensation
• Maintain all HR files and ensure all documents are updated regularly.
• Coordinate with the finance department regarding all employee payments.
• Assist the Talent Acquisition team in terms of screening CVs for various hospitality concepts - Foodmark, Citymax Hotels, Icare clinics & Fitness First.
• Conduct preliminary candidate checks through online job portals, LinkedIn, and referrals.
• Coordinating with HR transact team for visa and onboarding process.
• Perform other miscellaneous tasks required to support the talent acquisition team.
