Responsible to ensure all aspects of the pre-order process (negotiations, credit approval, open technical issues, and all other commercial issues) are complete through the appropriate channels prior to order entry.
Coordinates and takes the lead role to ensure all aspects of the project are on schedule and properly managed by
working with appropriate departments and customer contacts.
Outlines and provides the necessary project schedule for milestones and deliverables for each project by working with individual departments.
Coordinates special requirements with internal departments to ensure the final product is in accordance with the customer specification.
Interfaces with the customer on specific schedule changes and coordinates with the Sales and Technical Support groups to resolve unforeseen technical and commercial issues.
Monitors Company performance regarding technical, commercial, and schedule commitments, and provides project status reports for customers and Company Management in a timely manner.
Travels as required for support of project coordination tasks or training needs.
Negotiation with vendors for finalization of prices & order preparation for all materials for Projects.
Vendor Development & Material Planning for Spare & Consumable items.
Arranging samples and submitting to client for approval.
Preparing material status report in order to track the materials ordered or PO’s issued.
Follow up with suppliers for on time delivery of materials.
Correspondence and dealing with suppliers, carriers etc., regarding shortages, rejections etc., reported by the store department / site.
Posting order in ERP and generating GRN and do the final costing to find the landed cost.
Maintaining purchase files and records, keeping various departments informed of the progress of their indents in case of delay in obtaining supplies.
Assigned responsibilities of providing effective support in procurement activities for handling projects
Analyzing the specifications of the items required.
Identifying the right sources
Creating & raising the RFQ incorporating all necessary technical & commercial clauses.
Evaluating the offers from preliminary technical & commercial point of view
Finalizing the vendor after negotiations
Placement of Purchase orders incorporating mutually agreed terms & conditions.
Finalizing Long Term Price Agreements (LTPA)
Proactively liaise, co-ordinate with clients, 3rd. party Inspection agencies, suppliers and service agencies during all phases of project execution in Electro Mechanical Contracting. Refinery, Energy industries.
Sourcing of materials and Equipment spares, General Mechanical, Electrical, and Instrumentation items, on competitive basis.
Handle the tasks of conducting market research of vendors and compare material quotations
Performing the tasks of preparing supply agreement and coordinate with engineers in identifying requirements.
Schedule the purchases on priority basis to the respective buyers and arrange the delivery of materials to warehouse. Update the work orders requirement in system and pc for proper tracking.

Mainly was looking after following items in a project procurement package:
Ferrous and non-ferrous pipes, pipe fittings, flanges, valves, high-grade alloy fasteners, structural steel, etc.
Electrical (LV, MV, power, control & earthing) cables, Instrument cables, Fire & Gas cables and Telecom Cables.
Electrical & Instrument items like lighting fixtures, lighting poles, cable ladder & trays, junction boxes, distribution boards.
Instrument items like pressure safety elements, transmitters, mass flow meter, temperature elements, temperature gauges, thermal relief valves, pressure differential gauges, restriction orifice plate, bulk material, fibre optic converter etc.
Fire & Gas items like heat & gas detectors, fire hydrants & fire hose box, fire extinguisher, eye wash, emergency control station etc.
