Financial Responsibilities:
• Maintain all financial systems for the office and ensure full compliance with QC financial Procedures.
• Manage all bank and cash payments.
• Record and monitor all bank and cash transactions in Excel based cashbook and close cash book on monthly basis.
• Issuing of working advance to staff and its closing on monthly basis.
• Submit monthly financial report on time to Islamabad Office in line with QC requirements.
• Monitor the budget and prepare Budget Variance report on monthly basis.
• Prepare monthly Trail Balance, Bank ledger and Bank reconciliation.
• Monthly Cash Closing Inventory signed from PC & sent on monthly basis with financial report.
• Prepare cash flow projections and bank top-up requests.
• Provide guidance and training to programme staff on financial and accounting issues

Responsible for Human Resource and IT Support services including:
• The HR Assistant responsible for assisting the HR Department in the day to day operations. Responsibilities include assistance in recruitment and hiring process, wage and benefits administration, personnel recordkeeping, payroll, new employee orientation.
• Assists in providing the received CVs for the positions advertised
• Develops and maintains monitoring and tracking systems for performance evaluation, employee salary increases and promotions, staff training, overtime requests & payment, and medical insurance claims. Liaises with finance officer to ensure timely processing of increases, leave encashment and insurance claims
• Arrange orientation sessions for new staff with relevant line managers
• Orientation of new staff on QC’s HR manual and policies
• Maintain employees personal file
• Assists in the preparation of employee contracts and employment documents
• Processes time sheets and other information for payroll purposes
• Liaises and monitor with staff either employee files are well maintained & confidential, all required forms are completed and that employees receive all necessary employment documents.
• Get time to time assistance from Country HR Officer on policies and procedures of QC Assists with other duties as assigned
IT SUPPORT
• Provide technical support and/or country technical administration
• Communicating with individual internal users to resolve their IT related problems, most of which will be well-defined but there may be some new problem-solving to be attempted or referred upwards if necessary
• Following agreed IT strategies and policies
• Liaise with IT Officer Islamabad to resolve technical problems

Admin & Logistic Responsibilities:
• Drafting of Letters of invitation, receiving of visitors, arrangement of pick and drop, accommodation etc for official guest.
• Operating of switch board and receiving of visitors and directing to the concern staff.
• Initiating various contracts for Office and team housing lease agreements, services including cleaning, maintenance and continue operations of all technical issues in the office and staff / team House.
• Ensure all fixed assets tracking system is in place and is practically applied for all purchased commodities and all fixed assets maintenance and maintenance agreements.
• Updating of Inventory list of Office and staff house every quarterly and update on inventory changes or purchases monthly.
• Coordination / correspondence with Government offices related departments regarding logistical issues.
• Assisting in arranging seminar, workshops, functions etc.
• Liaise with Local Government agencies / Law enforcing agencies for security focal points, legal cases and any other related issues.
• Apply for tax exemptions, Custom exemption, sales tax on all vehicles and goods transportation.
