Administration
• Supervising the work of office juniors and assigning work for them.
• Perform an innumerable of administrative and secretarial duties to support the day to day activities.
• Providing administrative support in the preparation of correspondence, reports, schedules, confidential materials and various employee issues.
• Organizing business travel, itineraries, and accommodation for managers.

Fleet Management

• Load KM and TK reading weekly in Maximo system.
• Scheduling regular maintenance on all vehicles and create PM work order in Maximo system.
• Once receive maintenance request from diver, generate CM work order from Maximo.
• Send the vehicles to workshop and get repairing quotation.
• Sent to management for approval.
• Prepare PR/PO (If required)
• After approval inform workshop to repair and follow to get on time.
• After repair send mechanic to check and receive vehicle from workshop.
• Collect invoice and send for management signature and after signature follow up with finance to transfer the payment.
• Coordinate with Insurance Company for Motor claims.
• Ensuring all fleet users have proper licensure before issuing the vehicle.
• Give authorization to the vehicle users from TAMM.
• Maintain the record of MVPI, Vehicle’s registration, Highway card etc. and do the needful to renew on time.
• Maintain all vehicles files.


Purchasing
• Responsible for all purchasing.
• Sources new vendors for better quality products/items as well as better prices
• Obtains bids/quotations (at least 3) and negotiates with vendors to get better prices, deals, terms, discounts and confers with vendors to ensure prompt delivery
• Prepares/reviews purchase requisitions and orders for accuracy and ensures compliance with the Company’s policies and procedures.
• Arrange logistic and follow up.
