Administer document control department and manage daily routine jobs to achieve the targets which includes effectively follow the document management system in all areas as per Company policy. Establish systematic & comprehensive document filing system.
Effectively coordinate with Project Execution/Engineering Team to ensure MDR is accurate and deliverables tracked meticulously and to ensure proper data transmittal to customers and vendors. Attend periodic meeting related to document management.
Perform regular internal audit for document control functions to ensure consistent and effective service to the project. Ensure that all latest documents properly maintain in the departments and submit to Recipients on timely manner.
Liaise with Consultants, Contractors and Third party to maintain the documents accurately, supporting and guiding on the correct use of the system as well as ensure to follow the standard policy & procedures.
Plans, organizes and implement systems for efficient document process of all communications, design & construction documents, supplier documents and other all.
Manage and retain all corporate documents, drawings and records in an efficient & easy retrievable manner in SAP-DMS system. Coordinate the training program for the maintenance and continuous improvement of the document control system.
Act as a focal point for document control to provide a quality service ensuring a constant liaison with Project Team, other company departments, Consultants and Contractors.
Renders full support to management team for all aspects of administrative work. Proper handling of all confidential documents and other Company related matters.
Effectively follow the Document Management System and Recommend improvements to work routines and system enhancement for the control of technical records.
•Handle & maintain all types of Technical documents such as Drawings, Specifications, NCRs, RFIs, Reports, QA/QC documents, Manuals and Vendor documents.
•Close co-ordination with Consultant, Contractors and different departments in Company in relation with on-going project and to ensure that all documents are properly submitted in timely manner.
•Attend Weekly Project Progress Review meeting and highlight pending overdue documents from all parties. Issues weekly/monthly document status reports.
•Maintain the BIW Technology online Document Management system. Attends technical queries from user groups and give training to the feed staff regarding the online system.
