Organizational Support:
◆ Present a professional welcoming first contact to all clients, funders, vendors, board members, staff, media, etc. - by phone, in person, and email.
◆ Responsibility for development & implementation of efficient office systems
◆ Responsible for keeping office equipment maintained
◆ Responsible for organizational functions and general meeting support: including arranging, follow up calls, maintaining office space schedules, securing food and supplies, copying + faxing
◆ Assist with meeting set up, and other duties as assigned
◆ Assist with Board communications (mailings, meeting support)
◆ Responsible for incoming and outgoing mail, shipping and receiving couriers.
◆ Responsible for maintenance of common spaces for appearance and functionality
◆ Responsible for managing supplies and maintenance of storage areas
◆ Provide support for teams: staff travels arrangements and expense tracking.
◆ Collection, stamping and proper upkeep of all Contract Documents
◆ Issue of Contract Documents, Contract Drawings etc. to the site offices
Human Resources:
◆ Sourcing CVs, telephonic interview, scheduling interviews, database management, orientation, monitoring time sheets.
◆ Giving the staff files for verifications.
◆ Giving assistance to the counter staff by giving out the documents required.
◆ Assisting with the day-to-day efficient operation of the HR office
◆ Responsible for timely and accurate inputting of new employee core data into the HRMS system, in accordance with remuneration policies, to include them for payment of salaries without any delay.
◆ Coordinate and ensure that employee data base like dependent's details, visa/passport details on HRMS are error free.
Recruiting:
◆ Managing the complete recruitment life cycle for sourcing the best talent from diverse sources after identification of manpower requirements.
◆ Planning Human Resource requirements in consultation with heads of different functional & operational areas and conducting selection interviews
◆ Arranging and reviewing job analysis, job descriptions and human specifications
◆ Handling all the functions of employee joining to leave formalities.
Induction & post recruitment process: ◆ Carrying the Induction Process with the Training Manager.
◆ Issuing ID cards to new employees.
◆ Updating company database records.
◆ Opening salary accounts for crediting of salary.
New Employees Induction and Orientation:
◆ Carrying the Induction Process with the Training Manager.
◆ Issuing ID cards to new employees.
◆ Develop and conduct new employee orientation on program.
◆ Preparing the Salary Certificates & providing approval for Loan letters.
◆ Advising on pay and other remuneration issues, including payroll, promotion and benefits; disciplinary procedures, absence management and in depth knowledge of UK Labor Law
Appraisal: ◆ Working on annual appraisal,
◆ Circulating self-appraisal and HOD appraisal forms amongst employees,
◆ Collecting the appraisal forms and filing it as per department,
◆ Meeting up with HOD's regarding the appraisal ratings and appraisal figures,
◆ Calculating appraisals to be given to every employee,
◆ Issuing increment letters to employees.
HR Administration:
◆ Maintaining the records of employees using RAMCO (HRMS), which included posting job against vacancy, putting the new employee in the system, leave management etc.
◆ Assisting the Recruitment manager with Organising and handling Recruitment Open Days and Graduate Programmes.
◆ Making the Starter Packs and employee IDs.
◆ Assisting in the training programme for the employees of different department.
◆ Arranging the meetings of all the head of departments and noting the minutes.
◆ Handling the Mails and the Couriers.
◆ Assisting in preparing the training schedule.
◆ Assisting the team with the Length of Service Awards and other organizational fest or functions.
◆ Assisting in handling the office stock and stationary.
◆ Assisting in innovation of the Radisson online recruitment page.
◆ Assisting the HODs and managers in disciplinary meeting and grievance handling.
Training and Development:
o Distribute training schedules
o Coordinate training requests (internal and external)
o Compile training schedules
o Book training events (Facilitator, venue, accommodation, refreshments, etc.)
o Coordinate the preparation of training venues (Equipment, stationary, etc.)
o Capture completed training reports into HRD database
o Update existing courses as per Sector and Client requirements
Exit Formality & Separation: Exit formality includes conducting Exit Interviews to find out reasons of leaving, counsel employees to retain (where possible), analyzing reasons for exit and communicating areas of concerns (if any) to the Senior Management. Separation includes full & final settlement, providing employees with relieving & experience certificate.
