Deliverables:

Front Desk, Events, Client meetings & Special Interest Groups -

• Managing Visitor management along with Client Meeting room bookings, meeting room set ups.
• Work with SIG (special interest groups, ) for idea collaboration, event budget discussions, presenting ideas and budgets.
• Managing office events calendars in alignment with the stakeholders/line manager.
• Partner with stakeholders for office affiliation planning and execution, managing end to end event flow, vendor coordination, cost negotiation and post event closures.
• Source and build relationship with EMCs, Caterers & Hotels.
• Manage event communication, send registration surveys, track RSVPs for budgeting, planning. Buzz creation through digital signages, emailers etc.
• Partner with Chefs/caterers for event F&B planning, create food programs specific to events theme.
• Partner with local IT team for AV/VC setups and ensuring smooth data presentation at the event.
• Event contract/PO closures, taking written approval and partner with Finance team for timely documentation and hassle-free invoice submission.
• Working with the vendors for invoice closures, timely invoice submission and payment follow ups.
• Creating feedback surveys, collating data, and reviewing survey results with larger group.
• Managing special client meetings setups, F&B, stationery, and ad hoc requirements.
• Briefing support teams and manpower deployment plans with assigned duties.

Soft Services Management -

• To oversee and monitor the day-to-day running of the Facilities management operational teams, Mailroom, Transportation, Reception, Housekeeping, Catering services, Pantry services, Events Coordination and Facilities Helpdesk.
• Manage relationships with Stakeholders, Landlords and Service Partners.
• Manage contract relationships with the outsourced vendor and external providers to ensure that the delivery service levels are achieved (time / quality / budget).
• Escalate major requests or issues.
• Review and improve service processes to optimize services provided by facilities team.
• Provide input to improve the services.
• Ensure that resources and service providers remain focused, productive and motivated.
• Supporting Fire Drills, ensuring all emergency procedures are in place. All equipment such as fire extinguishers, PA system, alarms, detectors etc. are checked regularly. Participating in trainings. Ensuring availability of basic medications in office.
• FMCG, Stationery etc. material procurement, daily consumption tracking, material storage and timely deliveries, exploring the market and introducing new products. Maintaining par stock and ensuring replenishment.
• New team members responsibility allocation and space management. Coaching, mentoring, guidance, and initiatives for increasing efficiencies.

Helpdesk -

• Transfer of office assets and laptops, IT accessories etc.
• Delivery of consumables/stationery and supplies to employees working on remote locations or non - BCG office site.
• Procurement of Stamp papers, Notary or other legal requirements.
• Assisting with Visa documentation requirements, supporting the EA Team with bulk Printing/ Scanning/ Binding documents. RFP submissions and critical business delivers.
