• Deputed as ‘Executive Secretary’ to the Deputy Project Director of Jacobs, the Project Management/Consultant of Qatar Rail Project for Red Line Team.
• Maintains electronic calendar of the Project Director, coordinates and schedule meetings between the Client and Contractor. Organizes events when required.
• Attend meetings, take minutes of meeting, drafting the minutes and distributing the final minutes to all attendees.
• Order and monitor office/kitchen/toilet supplies.
• Act as the ‘Admin Team Supervisor’ and the point of contact of the Team.
• Final checking of the weekly Timesheets of all PMC staff prior to submission for Client’s approval.
• Handling all office issues and concerns.
• Welcoming newly hired staff and orients them.
• Covers the Technical Assistant of the Client when on leave
Directly reporting to the GM and other Department Heads, maintains and regularly updates daily activities thru electronic diaries. Preparing draft letters for final distribution to the Residents, receiving and answering mails independently to Clients/Customers where necessary. Assisting Property Managers and Sales Agents in their day to day activities. Responsible for all administrative jobs.
