Assisting, supporting and reporting directly to the Division Director.
Designing and controlling the project schedule.
Preparing presentations to update senior management on the project’s progress and showcase the project’s value.
Delegating tasks to team members.
Looking for ways to increase the project’s profitability and reduce expenses where possible.
Ensuring deadlines are met.
Providing administrative support.
Organizing project team / stake holder meeting and recording minutes.
Handling petty cash & financial queries.
Update/Manage: Budget Impact sheets, Project CV Tracker, vessel Mob/Demob changes and Project Team Matrix per assigned projects
Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
Documenting and following up on important actions and decisions from meetings.
Preparing necessary presentation materials for meetings.
Ensuring project deadlines are met.
Determining project changes.
Providing administrative support as needed.
Developing project strategies.
Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
Maintain confidentiality around sensitive documentation
Maintains administrative staff by recruiting, selecting, orienting, and training to the employees.
Develops and implements policies and procedures to improve operations and function of the department.
Monitor costs and expenses to assist in budget preparation
Use project management tools to monitor working hours, budget, plans and money spend
Assures that no incident or near miss goes unreported, including assuring investigation, accurate determination of root causes and consequent preventive and corrective actions are taken.
Performance of such other tasks, duties and responsibilities as may be needed or requested from time to time, by the management.
