• Supervision and organization of a team of warehouse personnel that will include material receiving, inspection and issuance to sub-contractors.
• Monitoring of Electro Mechanical bulk material delivery schedules to ensure timely delivery to warehouse and then to construction sites.
• Preparation of Weekly Material Receiving Summary (MRS) and Material Issue Request (MIR).
• Over, short and damage (OSD) reports.
• Waste, surplus and returned goods monitoring and control.
• Commissioning & Operating Spares monitoring & control.
• Study and confirm all information concerning materials such as material specifications, color coding, material traceability, etc.
• Plan and provide measures for receiving equipment and materials and participate in their receipt.
• Establish a work force plan for mobilization of laborers, construction equipment, tools, gears and other necessary things to implement cargoes receiving and warehouse operation.
• Unpacking and check damages, shortages and off-specs of received cargoes.
• Plan an effective system of storing materials and proper identification of each material to prevent miss issuance.
• Issue the materials/equipment to subcontractor/s upon presentation of issue slip duly approved and authorized.
• Check the receiving and issuing status of materials and prepare and submit report to Materials Manager in a weekly basis.
• Check the specification of materials and equipment with Materials Manager and follow up the status of them for the construction schedule.
• Forecast the necessary quantity of each material for the remaining work mainly during the latter part of the fieldwork.
• Prepare and submit to Materials Manager the “Materials Receiving Reports” and “Material Exception Reports”.
• Confirm an adequate number of warehouse keepers and laborers.
• Plan and provide counter measures against such matters as fire, moisture, excessive temperature, corrosion, dust vibration and hazardous materials, etc., to protect stored materials.
• Inspects incoming importation of materials and supplies.
• Assists in storage of newly arrived materials.
• Materials setting based on current Job Orders for issuances.
• Updates records and files through computer utilization.
• Issues necessary materials based on requisition slips to Production.
• Segregates raw materials according to types, numbers, sizes, colors and models.
• Supervises the receipt, storage and distribution of raw materials, supplies, tools and equipment within the company.
• Monitors daily ins and outs of materials and supplies through computerized inventory system.
• Designs and implements systematic numbering system, according to predetermined sequence for all materials and parts to ensure efficiency in material handling.
• Based on schedule, analyses and reviews on hand stocks to ensure availability of materials required, to avoid stock shortages and to set allowances for order lead time.
• Prepares discrepancy report for all variances resulting from actual counting of materials received.
• Manages material setting based on schedule as requested by the Construction Department.
• Prepares monthly inventory report submitted directly to company Director and Accounting Department for cost analysis.
• Conducts quarterly physical inventory on all items to ensure accuracy of balance of stocks.
• Conducts periodic canvassing of prices for local materials and supplies.
• Checks/verifies Purchase Orders for all materials and supplies needed in production.
• Makes follow-up to ensure availability and delivery of ordered materials for both local and foreign suppliers.
• Direct, supervise and lead the work of all store personnel in the material warehouse.
• Review, verify regarding the movement of inventory items.
• In charge of receiving the spare parts, consumable items, electrical items, mechanical items and electronic as per the delivery note against our order.
• Responsible for the maintenance and storekeeping of all inventory items kept in the warehouse.
• Initiates, reviews and certify the contents of the purchase / store requisition as prepared by the warehouse and site engineers.
• Implement the prescribed record keeping procedures.
• Implement approved housekeeping procedures and safety program.
• Provide assistance in conducting physical inventory and subsequent.
• Reconciliation of counts with SAP system (System Application in Product).
• Preparing reports of material warehouse supervisor for daily as well as monthly reports.
• Proper tagging and stacking of materials.
• Preparing of Material Receiving Report (MRR) from SAP system.
• Getting materials inspected from the concerned departments.
• After acceptance sending it to issue section for stacking (stock only).
• Send inspection notification to end-user for direct charge items.
• Preparing outgoing gate pass for rejected materials and for sending material outside for reconditioning.
• Generating rejection / shortage / damage and overage reports through SAP system.
• Materials preservation.
