SECRETARIAL DUTIES TO THE MANAGEMENT
Arrange diary management and meetings - coordinate the venue,
Accommodation, transportation and meals if required.
Arranging Hotel and Airline Ticket Booking
RECEPTIONIST
Assisting visitors and guests on their queries.
Receive incoming mail by post, log and disseminate where required. Also, dispatch parcel / letters through courier / on hand delivery.
Procurement duties - Maintain business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; preparing LPO request.
Answers & make telephone calls. Takes down & passes messages as directed - Carries out reception duties at assigned office that includes receiving people coming into the office of assigned supervisor, answering queries & scheduling appointments.
Regular update of the Company Telephone Directory.
Document Controlling - assist other staffs in regards with Project documentation, scanning, filings, retrieving documents and data.
Assists in preparing marketing materials for Pre-qualification process, biddings and proposals.
HR ADMIN ASSISTANT
Create, systematize and maintain important employee files, establishes & improves own filing. File, maintain and retrieve information/ records both electronically (HRMS)( memos, payroll, personal informations, leaves, etc.) in both paper and the database and ensure all employment requirements are met.
Responsible for the posting and advertising manpower requirements, either through flyers, external and internal posting or print media.
Receiving applications & record in HR Database and send acknowledgement letters to candidates.
Evaluate and do preliminary questionnaires for shortlisted applicants; Coordinating with selected candidates for completing required documents for visa processing, adherence to pre, during and post-employment checklists to ensure smooth joining formalities;
Providing full HR and Administrative Support.
Assisting payroll by giving relevant informations of staff status (absences, leaves, cancelled, etc)
Monitors Leaves (Annual, Emergency, Sick, etc.) of staffs; Do recordings and time keepings - attendance
Monitors and handles the Accommodation of the staffs/labours.
Responsible of applying/cancelling insurance cards of employees including their families.
Assists routine operation of the HR office by providing administrative and clerical support to employees to ensure effective and efficient administrative operations. Attends and prepare some queries of staff especially on HR related correspondence. Assist staff by answering relevant HR enquiries, issue formal letters upon request, and follow up with medical insurance claims to ensure efficient and satisfactory service in line with HR policies and procedures.
Coordinating with the PRO for New Visa application, expiries, renewal, cancellation, ban, lost labor card, updating labor card/contract, NOC for driving license & and all other matters related to visa & work permit;
Responsible for handling Confidential Files of the Top Management; Handling the maintenance and update HR Master File and employee file of employees;
Responsible for preparing Memos, Correspondence, Warning Letters, Promotions & Termination Letters; Employee Recognition, Employee of the Month Certificates, Salary Certificate, Certificate of Employment, Salary Transfer Letter, NOC for Travel etc., answering queries with regards to employee verification;
Filing all HR related documents;

-Doing procurement duties - office supplies, maintains supplies inventory and preparing LPO request.
-Arranging travel schedules of drivers, transportation of staff; Hotel and Airline Ticket Booking
-Assists day-to-day efficient operation of the HR office by providing administrative and clerical support for all employees to ensure effective and efficient administrative operations.
-Processes applications from and vice versa in coordination with PRO and the Finance/Accounts Department:
-From Screening to Newly hired staff; On boarding and Mobilization
-Work permits applications until Residence visa (Labor contracts, Labor cards, EID, medical)
-Resigned / terminated and or End of Service employees
-Composed inter-office memos for Company and employees: Warnings, Terminations, NOC, Approved holidays, Office memorandums, Employment Certificates, Salary certificates
-Assessing employees by monitoring performance evaluation, appraisals and probation periods.
-In-charge of applying/cancelling insurance cards of employees and their families.
-Monitors Leaves (Annual, Emergency, Sick, etc.) of staff in coordination with Finance/Accounts Department for Payroll.
-Do recordings and timekeepings, assisting payroll for monthly salaries and computation of EOSB.
-Coordinate with PRO concerning applications of new, renewing and expiration of Labour Cards/Contracts, Emirates ID’s, Residence Visa of employees and their families.
-Organize and maintain important employee files, establishes & improves own filing system - Compiles and maintain control records confidentiality and related 201 files of the employees.
-Monitors employees’ passport expiry and renew the as soon as possible.
-Assists in computing final settlements and payment process of not connected employees

-Attend some queries of staff especially on HR matter

As Recruitment Staff and Other Duties includes:
•Evaluate and do preliminary questionnaires for shortlisted applicants.
•Receiving applications & record in HR Database and send acknowledgement letters to candidates.

•Regular update of the Company Telephone Directory

Handles petty cash.
•Providing administrative support for the management & employees.
•Handles recruitment process, staffing, and the like.
•Assist with the testing of applicants and registering applicants in the database.
•Handles exit clearances of employees who are terminated and or resigning from the Company.
•Checks, sorts and releases cash payroll every 15th, 30th or 31st of the month.
•Do timekeeping and counseling of employees
•Organizing events such as Tournaments, Birthday and Christmas Party, Anniversaries of employees and the company.
•Making memorandums (interoffice memorandums for the Company and its employees).
•Successor of the Contribution officer (Labor Benefits) of the HR Department (SSS, PHIC, BIR and HDMF).
•Handling Main-important documents (201 Files) of employees including the Promo Merchandisers and Coordinators (updating files for safekeeping purposes).
•Ensures proper sanitation and checks adequate office supplies for HR Department.
•Local Document Controller of the HR Department for ISO procedures.
•Also works as a Front Desk Clerk, when the person in charge is not around.
•Promptly responds to customer inquiries, requests and complaints via phone calls, welcoming and entertaining guests and customers.
