Handling all import & export documentation for Chemicals, (EPA Approvals, Invoice, Packing List, COC) follow up of shipments, Processing Purchase orders, Customs duty, Making Invoices (All in ERP System), making commission orders and its follow ups, resale orders etc. Also attending Reception Telephone Calls including Sales Orders and enquiries, filing, E-mail/Fax correspondence and other administrative jobs. Coordinating with clearing agent, warehouse receive follow up, reminders related to orders. Follow up for commission, sending/posting enquires & searching for specific materials, suppliers receiving & sending couriers, arranging samples, making quotations, proforma, filing, making payment request to suppliers, Typing L/C applications, Letter of guarantee, Promissory Note, tender bond, LC amendments, debit note, co-ordinate with accounts.

Regular Follow up & allocation of Commission receiving from various abroad suppliers & co-ordinate with A/c Dept.
Job related to obtaining Work Visa, Keeping on track detail of above 400 Staff Residence Renewals from time to time, Passport Details, getting Visit Visa, Staff Contracts, Local Transfer, Documents arranging, filing, generating monthly reports, Co-coordinating with Manpower Suppliers, Arranging Air Tickets, G.P. Tickets (for Project Visa) Bank Guarantee, Health Insurance, Civil ID, Salary Certificate, Travel Insurance E-mail/Fax Correspondence, filing personnel files with proper index and numbering, Handling 400 persons passports & cabinet in a systematic way. etc.
Making quotations for various products such as Finishing, Sanitary, Bathroom Fittings, Tiles, Lucrites, Engineering Products, Pumps, Fire Fighting Equipments, Electrical Items, Automatic Gates etc.
Getting Prices from outside principals, thru e-mail, & faxes. Involved in tender preparation for various projects & Depts. Making weekly/monthly Quotation reports, Ongoing Projects Details also its related Consultants / Contractors information. Making daily visit report and respective filing of above jobs
Taking dictations, making statements, E-mails, attending all the import trade enquiries, MIS reports, self correspondence, preparing minutes of meeting, keeping all upto date personnel records, confidential papers, fixing appointment schedules, tour itinerary, arranging overseas Visas, hotel booking, co-ordinate with top level Managerial staff and Engineers, preparing letter of credit applications for Chief Accountant, making local purchase orders (LPOs) looking after staff related matters, necessary arrangements for interview/short listing candidates, making daily site reports, arranging transport for import related works for stores, shipment follow-ups, getting quotations for various works in the company. Making short shipment report, keeping update records for all office equipment maintenance and annual contracts, monitoring ISD telephone/fax, issuing fuel for sales dept. keeping files of incoming and outgoing faxes, purchase of stationeries etc.
Bachelor of Economics Diploma in Computer Application Secretarial Practice - Including Shorthand & Typewriting, Office Automation.
