In this role I am responsible for all financial accounting and compliance activities at our Kabwe Multi-brand Branch, to ensure compliance with the organization financial policies and procedures for payments, receipts, and cash management, and ensuring completeness and accuracy of the CFAO Motors - Kabwe financial accounts. I am specifically responsible for the following aspects of the finance function:
• Budgeting and Financial Planning: Collaborate with members of the branch to develop project budgets, aligning them with the CFAO goals; Contribute to the development of financial strategies and plans to support the long-term sustainability and growth of the branch.
• Treasury: Issuing receipts for cash and EFT payments made to the branch by customers. Preparing Daily banking reconciliation for the central treasury team.
• Bookkeeping and Record Keeping: Maintain accurate and up-to-date financial records, ensuring compliance with accounting principles and best practices.
• Expense Tracking: Recording and categorizing expenses according to specific activities to facilitate accurate reporting and accountability.
• Cash on hand: Ensure proper handling of cash transactions at the branch.
• Petty Cash Management: Managing the petty cash float used for small and routine expenses.
• Cash Flow Management: Monitor and maintain cash flow, ensuring suficient funds are available for operational needs.
• Bank Reconciliations: reconcile Top Gear bank accounts, comparing the recorded bank transactions with the bank statements to identify any discrepancies and ensure accurate financial reporting.
• Financial Reporting: Assist in the preparation of regular financial reports, including monthly, quarterly, and annual statements, for presentation to management, board, and stakeholders. Control the accuracy of branch monthly reporting in line with group guidelines, the analytical division, and the Business Unit. Assisting the branch manager with understanding the financial performance of the branch.
• Compliance and Regulations: Ensure adherence to all relevant financial regulations and compliance requirements, keeping abreast of changes and updates; ensure adherence to standard operating procedures.
• Risk Management: Identify potential financial risks and suggest strategies to mitigate them.
• Internal controls: Establishing and maintaining internal control procedures to prevent financial mismanagement, fraud, and errors in financial transactions and operations. Ensure the timely submission of the monthly reports to management: WIP reconciliations, cash sales report, Oil recons, Consumable recons, …
• Audit Preparation: Collaborate with external and internal auditors to prepare for and facilitate audits, providing necessary documentation and explanations.
• Communication and Team Collaboration: Work closely with other team members, workshop, and parts to provide financial insights and support decision-making processes.
• Capacity Building: Enhancing CFAO staf understanding of financial processes, budget management, and compliance with PACI regulations.
• Confidentiality and Integrity: Handle financial information with the utmost confidentiality and demonstrate ethical behavior in all financial matters.
• Receivables: Follow-up on payment of outstanding invoices issued by the branch with the aim of having no outstanding for more than 14 days.
• Payables: Monitor and ensure all branch supplier accounts are paid and allocated accordingly.
