Processing and providing administrative support to the department in all levels.
Maintaining and handling highly valuable and confidential information.
Preparing work schedule, maintaining employee and employer related filings and documentations
Setting up the meetings, training schedules, reservations in relate to the department and for the senior management.
Monitor and maintain staffing base on Basis of Estimates (BOE).
Handling email correspondence in all levels.
Generates and maintains all admin related especially tracking and reporting of employees at work and performance.
Preparing documents in relate to the safety, overtime (OT), Company vehicles, various passes to different military bases etc.
Following up the schedules, and get signatures in valuable documents from the top management departments.
Coordinating and actively a team player with various branches to fulfill the departmental goals and objectives.
Track all business development activities, analyze progress and suggest new strategies
Generate and convert leads into customer orders
Foresee the market trends and identify the economic and logistical inefficiencies
Maintain client relationships, thereby promoting new sales opportunities with existing as well as new clients
Ensure continued customer satisfaction after the initial sales is over
Maintain an accurate and updated database of clients and submitted products and services.
Prepare appropriate marketing materials and collaterals and manage online as well as direct marketing campaigns
Effectively communicate with clients (both oral and written) and maintain regular contact with key clients
General administration of the branch
Facilities management and Handling corporate contracts.
Liaison with statutory bodies - Special Economic Zone (SEZ), Customs, & Central Excise, Corporation office, Labour, Provident Fund, Workers Welfare Fund and Preparation & submission of various monthly, quarterly and annual reports and returns.
Purchase of stores and negotiation on price and payment.
Prepare official correspondence, coordinate and schedule events, conferences, meetings, travel, conference rooms, luncheons, etc.
Organize and maintain file and records including staff records, property related records, etc.
Prepares itineraries, agendas, and expense reports.
Maintain Property related records, Property Maintenance Contract renewal.
Coordinate domestic and international travel arrangements, visa arrangements and international meetings.
Additional responsibility of coordinating Recruitment of employees - Resume searching, Scheduling of interviews, records, etc.
Finance responsibilities:
General accounting works
Book keeping and vouching of transactions.
Handling accounts and preparation of reports
Preparation and documentation of day to day transactions
Internal audit, Inventory valuation
Received and recorded invoices and arranged payments.
Prepare and send invoices to debtors.
Prepare regular reports and summaries of accounting activities.
Verify recorded transactions and report irregularities to authorities.
Control and collection of accounts payables and receivables.
Reconciliation of bank statements.
Prepare cash flow statements.
Prepare invoices and delivery notes.
Manage all aspects of the business unit operating budget.
Established and maintained close relationship with bank authorities and auditors, ensuring compliance with all regulatory bodies.
Supervise and record operating expense of the company.
Preparing monthly reconciliation and quarterly reports.
Perform various ledgers activities and journal entries
Maintain and manage all accounting records
