Customer Service Coordinator (Industrial Projects - Oil & Energy)
Receive bookings from customer / origin offices and coordinate with the shipper for cargo readiness before pick up.
Receive necessary documents from the shipper and follow up to ensure that all customs clearances, export documentation
and legalisations are processed within specified time frames.
Initiating document check in line with mode of shipments and country regulations. Checking FACT sheet for country
regulation and notify client prior to shipment execution.
Liaise with the customer on desired delivery schedules, book transporters and follow up for delivery of cargo to the
customer within timelines specified.
Liaise with pricing for buying and selling price of the shipment - if non-contracted.
Coordinating with overseas and destination offices per shipment required.
Liaising with air freight /ocean freight /road freight operation teams as per shipment.
Maintaining continuous client communications and keeping the client notified.
Initiating re-quotation in case of any variation in the scope. This includes obtaining prices from stations/vendors and
involving the pricing team to quote as required.
Updating client trackers and keeping client updated of any variations/timelines.
Providing timely pre-alerts on the day of shipment collection from client facility.
Providing invoicing instructions, initiate invoicing for cross trade/third-party & Local shipments.
Ensuring that the correct document accompany the shipment in order to facilitate smooth customs clearance.
Following up with airlines and shipping lines and tracking the shipments including post flight and post vessel sailing. Any
delays / variations to be notified to the client.
Ensures that all practices are in compliance with Company’s policies and procedures so that business is handled efficiently.
Updating non-Danzas exit/entry tracker at the time of initiating shipment and ensures timely return of exits to customers
thereby resulting in minimum liabilities to the organisation.
