Prepare and oversee the implementation of the unit’s annual budget, plans and processes, ensuring alignment with the overall strategic plans and objectives.
Define and monitor frameworks and systems to optimize and manage the facilities, to ensure adherence to HSE and Good Manufacturing (GMP) standards and practices.
Participate in the development/update of contingency plans in the event of disaster or damage to the organization’s facilities.
Oversee the management of utilities and ensure prompt processing of payment to avoid disruption.
Fleet Management and Insurance:
Ensure all documentation, licenses, and registrations pertaining to fleet are updated as at when due.
Liaise with finance to ensure adequate insurance coverage for all company vehicles against potential risks.
Inventory Management
Manage and maintain the admin inventory, monitor stock and reorder levels for all consumables; and make prompt requisition to ensure timely supplies.
Vendor Management and Consumables:
Effectively manage internal and external stakeholders (staff and 3rd party vendors) to ensure seamless operations of the Admin unit.
Manage the relationship with vendors ensuring constant value delivery to the business and compliance with agreed service levels.

Make sure that the security staff are execute the orders.
Coordinate with the security company about problem’s and make sure that problems are solved.
Evaluate the out-sourcing companies (car rent, security and cleaning) and look at for good alternatives if we need one.
Manage the purchasing process (determine the needs and search for offers and select the suitable one and finally make the PO).
Operate the car rent contract: make sure all projects employee arrived their location in appropriate time, collect time sheets from all locations and prepare the paper for accounting, coordinate with car rent contractor to provide us of cars for travelling, solve any problems from all projects immediately even changing cars.
Finish all paper of cars: insurance, car license, car maintenance.
Manage and evaluate all staff of Administration affairs department.
Make and train the new comers.
Manage the maintenance process.
Administrate the renewal of contracts (security & cleaning) companies.
Follow up with all projects and find solution for any problems.
