-Manage and direct the activities of assigned personnel, both support and contracted staff, performing supervisory functions and exercises financial authority at the level established by Dolphin Energy.
Prepare annual administration forecast and budget and forward for approval of Director Corporate HR & Administration.
Ensure provision of sufficient resources and assets to reach target goals and objectives of General Services
Contribute and support company cost optimization program for all the transactions in the department including transportation, utility, supplies and consumption etc.
Liaise with the local market representatives to provide best offers to Dolphin Energy UAE and its employees.
Update and maintain various contracts for all areas related areas including transportation, housing and office supplies and prepare scope of work for new office requirements, cost estimation for the office set-up and monitor all the general services contracts.
Manage team to create new Vendor, SES (Service Entry Sheet), PO (Purchase Order) and WSO (Work Service Order) in SAP and coordinate with Finance in resolving general services financial issues.
Coordinate with Department Managers in Dolphin Energy UAE to ensure space, material, equipment and vehicle needs meet their requirements.
Direct general services in UAE including managing office space and outfitting, parking, office supplies and storage, furniture/document storage, warehouse, transportation, courier/mail room, office services, janitorial and arrival/housing
Plan and ensure effective facilities management of building premises while providing full range of office administration services.
Manage and supervise maintenance work performed for all defined facilities in Dolphin Energy UAE including inspecting the location as necessary and approving the standard and cost of the repair to be undertaken.
Manage entire Catering activities for all locations within Dolphin Energy UAE and participate company events and Catering Tender. Manage Catering Team and Contractors to promote food safety and hygiene standards. Ensure healthy, balanced food and menu cycles are set to suit various nationalities, cultures and religions.
Liaise with all corporate clients to establish new offers and promotions to Dolphin Energy UAE and its staff. Conduct road show with local banks and institution if its necessary.
Review and approve large-scale direct purchase orders; evaluate quotations and its process including evaluating bids and making recommendations to senior management as to the award of contracts; resolve procurement and distribution-related questions, inquiries and complaints from customers and vendors etc.
Work closely with P&C and Finance to ensure smooth functioning of all the supplies and services contracts, monthly accruals and Tender Committee approval.
Be on call to respond/solve any facilities management/maintenance related problems to support uninterrupted operations.
Invite tenders and assist P&C in negotiating with suppliers and contractors, to award contracts for the office supplies and admin/GS services such as stationery, furniture, cleaning, maintenance, catering and kitchen services and transportation as well as monitoring the performance of Contractors to ensure satisfactory services and compliances with agreed terms. Participate in reviewing and evaluating pertinent proposals, agreements and contracts to ensure compliance with Company requirements, rules, regulations and policies.
Supervise maintenance work performed by General Services in the area, inspecting the location as necessary and approving the standard and cost of the repair to be undertaken.
Adhere to the legislative requirements of all countries where the Dolphin Energy Project operates and maintain the highest ethical standard in dealing with all persons, preserving loyalty by working for the exclusive benefit of Dolphin Energy throughout the duration of the assignment.
