Manage the Country office logistics team of 90 staff to meet ACCC programme objectives in Sierra Leone.
Procurement
Plan and coordinate international and local procurement of office and project supplies and services to support the Country, regional and field offices operations in Sierra Leone (which includes: purchase request, RFQ, bid analysis, purchase order, contract management, good receipt note and procurement tracking report) liaise with program staff to develop procurement plan according to project activities and manage the clearing and forwarding of ACCC project supplies and equipment’s from sea or airport to ACCC main warehouse in Freetown.
Ensure that all ACCC procurement procedures are in place according to ACCC procurement policy and donor guidelines.
Update ACCC procurement management database for all transection on a daily, weekly and monthly bases according program.
Update supplier and service provider price list to monitor the price of commodities in the marker
Fleet Management
Manage the rental, allocation and dissipation of vehicles and motorbikes toACCC project sites on a daily bases to meet ACCC country program objectives.
Manage the day-today fuelling of vehicles, motorbikes and generators and calculation of fuel consumption rate for each vehicle, motorbike and generator on daily, weekly and monthly bases and ensure adequate fuel supply for ACCC head, regional and field offices operations.
Supervise the repair/service/maintenance of ACCC vehicles, motorbikes and generators to support the smooth implementation of its programs in Sierra Leone. Act as focal person for the renewal of vehicle and motorbike license and insurance.
Asset Management
Monitor and keep track of ACCC assets in the head, regional and field offices according to program and report to management about their current status and depreciation value.
Ensure that assets are tag/label according to program, location, budget lines and donor.
Warehouse Management (Project Stock)
Manage ACCC warehouse stocks according to project to ensure that materials received and dispatch out of the warehouse are properly recorded and stack card are updated, conduct physical inventory of all items/materials in stock and prepare monthly stock reconciliation report according to ACCC store management standard and ensure that warehouse staff comply with ACCC warehouse management procedure to meet it country program objectives. Organize training for warehouse and other logistics staff on standard warehouse management procedures.
Field Office Management
Ensure the smooth functioning of the office and housing facilities - repairs, maintenances and improvement of adequate water supply, electricity, internet, house and office structures.
People Management
Manage drivers, warehouse staff, Logistics assistant, procurement assistant, vehicle and generator mechanic, security guards, utility worker, daily casual workers and any other staff working under logistics department in the country, regional and field offices.
Manage the recruitment of logistics staff which includes; procurement, warehouse, fuel clerk, transport officer, shipment officer and Vehicle/motorbike mechanic.
inventory of all assets in ACCC premises and report to management about any need and status of equipment
Communication and Security
Ensure that security guards are assigned in all ACCC Offices, guesthouse and international staff residence on day and night shift and ensure that staff comply with ACCC health and safety procedure.
Financial Management
Ensure that all requests are charge according to project name, budget line, project ID and cost centre, liaise with finance office to ensure that vendors/service provider are paid on time.
