Responsibilities

• Overseeing the smooth and efficient running of all aspects of the office.
• Liaising with accounts staff, store assistant, medical assistant, librarian and dispatch teams and managing the post in and out.
• Assisting in the coordination of all recruitment activity.
• Overseeing the attendance, leave record and EOBI function to ensure it is complete, accurate and timely.
• Processing of all the payroll on a monthly basis.
• Prepare and maintain all documents related to transportation activities, as per the regulations mentioned in company rules.
• Supervise the transportation process to ensure there is no theft, damage or tampering of the goods in transit.
• Maintained and updated vehicle log books.
• Performed entry level procurement tasks
Processing and preparing all purchase orders for professional and non-professional staff.
• Actively working to promote equal opportunities and diversity
• Identifying the training and development needs of staff.
• Arranging conference calls for General Managers and Vice President.

Executive Secretary / Data Processing Officer à NESPAK, Disester Management and Reconstructino Division

As Executive Secretary/DPO, I was responsible for following duties
• Provide executive level administrative support to the Head of the Division.
• Coordinated projects and events exercising ability to improvise, improve procedures, and meet demanding deadlines.
• Liaison between all impacted departments to ensure proper communications and reporting practices.
• Plan and coordinate corporate luncheons, and develop presentations for related on-site and off-site meetings.
• Organize the details of special events, travel arrangements, corporate agendas and itineraries.
• Direct business relations and distribution of company literature to stimulate client interest and project managers.
• Manage capital purchases, direct vendor relations, generate and maintain equipment tracking records.
• Input accurate information to Business Process Management system in according with the agreed timetable.
• Responsible for checking the output reports from BPMS as a cross check of data entered
• Responsible for accuracy, efficiency and retrieval of processed data.
• Process monthly reports reflecting supporting documents and financial indexes.
• Prepare and maintain monthly attendance and annual leave record of more than 1000 employees at one time.
• Facilitate the accurate and timely writing, editing, and preparation of final copy from draft to distribution.
• Maintained paper and electronic filing systems and ensured their easy retrieval;
• Organizing, receiving and distributing all post in and out of the contract.
• Scanning, filing, photocopying and faxing documents.
• Booking resources and refreshments for meetings.
• Provide other general administrative support to departments within the contract where necessary.
• Typing of letters, minutes, reports and specifications.
• Assistance on preparation of bid and tender documentation.
• Process weekly time record keeping and inputting
• Any Job assigned by the Management time to time

Being a team player, I have also been associated in different capacity with Head. Some of key assignments undertaken by me are as follows:

- Donors & Sponsors Coordination Cell

Although it was a challenging assignment to handle, almost 150 sponsors/donors from all over the world, but with the guidance of the Head of DMR Division, I was able to coordinate the things in a professional manner and always cooperated with the donors / Sponsors who came to NESPAK with their design/drawings for reconstruction & rehabilitation schemes of more than 1200 schools, health units, housing units, livestock sheds, temporary and transitionary shelters. The Donors & Sponsors Cell of ERRA gave a special appreciation letter for providing excellent coordination & assistance to the donor’s representatives. In addition to this all donors and sponsors have also praised me for the assistance provided by me.

- Contractor’s Coordination Cell

I assisted the Project Managers and engineers in processing of prequalification applications of more than 600 Contractors for reconstruction of earthquake affected areas.
