• Support with identifying and seeking Line Manager Approval for job descriptions for each vacancy.
• Manages all aspects of the recruitment process for Qatar and its subsidiaries including:
- Sourcing candidates through online job boards, LinkedIn, Agencies and employee referrals as per job profiles.
- Performing HR screening to collate basic HR related information as well as ensuring candidates will be able to fulfil all work visa related requirements.
- Make interview arrangements in conjunction with department admin support.
- Support offer negotiation process for junior positions, draft and submit offers to approval for all positons following confirmation from HR Manager.
- Ensures all documentation related to recruitment and visa requirements are in compliance with regulatory requirements and share accordingly with admin department for processing.
- Manage onboarding process by liaising with admin department to ensure all necessary arrangements have been made such as Administrative and legal process and arrangements of logistics for employee's arrival.
- Ensuring both candidates and Hiring Managers are kept updated throughout the process and Recruitment trackers are updated regularly to reflect real time recruitments status.
• Track and arrange HR induction for all new starters.
• Record employment data for new joiners on HCMS / People First and coordinate with relevant departments to complete all new joiners' procedures such as HSE induction, IT access and administration of any benefits via Administration Team.
• Update Payroll with required employee information.
• Coordinate approval process for any changes requested by the employer or Line Manager / Dept Heads, update HCMS and Payroll Team.
• Draft and share with the employee the approved and signed formal letter confirming the official change. Update employee file with a copy of the letter issued.
• Carry out initial information collation for all cases relating to performance, grievances, disciplinary and termination actions for review of HC Manager.
• Coordinate and arrange investigation and outcome meetings to be carried out by the HC Manager providing support for minor offences.
• Process all resignation requests, completing exit interview and sharing outcome with HC Manager for approval and consideration of any support that can be extended.
• Supports the HC Departments with maintaining data reports and employee files.
• Uphold confidentiality and data security by ensuring all information is safe guarded and stored securely.
