Duties: HR Advisory - advice staff on HR best practices and polices
Responsible for the full function of staff recruitment from junior to executive levels, including international recruitment, assist with VISA application for exceptional and general work permit, repatriation process
Liaise with recruiting line manager and provide him with the hiring requisition form
Confirm budget with the finance manager
loading positions on IREC system, liaise with relevant media, responsible for response handling, shortlist and invite candidates, setup interview panels, arrange interview venues and interview packs, advise during the recruitment and selection process, reference checks, negotiate with successful candidates and regret unsucceful candidates
Produce HR reports on the ORACLE system for management reporting
Draw up weekly vacancy list and assist line management on staffing plans and filling of positions
Administer probation and exit interviews procedure for all staff members
Advise on IR, Performance, and Training and Development issues
Draft appointment, regrets, and termination letters
Code both permanent and temporary new staff members on the system
Ensure that employees and line management follow all HR procedures and policies to eliminate any possible
HR risk
Ensure that all input is done for payroll purposes and ensuring payroll cut off dates
Attend to all HR queries
Train line management on HR systems and polices
Ensure that the HR strategy is implemented across
Monitor and control all re-appointments of staff
Produce batch reports on request
Assist HR manager with data for report to the Directorate
Assist with HR ad-hoc projects
Assist Training, performance management, Employee Relations processes, inducting new staff members
Market HR products to clients, advise staff on leave, payroll, benefits matters, acting as first line of contact

• HRcomplete documentation is sent to the recruitment office, and central office,
• Appointment Administration: appointment follow-up, arranging of selection committee according to policy, take minutes during the recruitment and selection committee, compile the submission for the permanent appointment for final approval, draft a letter to notify successful candidate, calculate the salary of the successful candidate and sent it for approval by the relevant director, once person accepted the offer, sent all the appoint documents and policies and procedures and explain them to the new employee.
• Arrange for the union and ER division to attend the meeting should the probationary period of the employee is extended, arrange for the confirmation of the probation committee meeting, arrange for the promotion meeting, record accurate minutes of meeting and ensure that are signed by the relevant director
• Provide accurate information to Central Admin for IMHS administration according to right codes
• Administer temporary appointments process initiation
• Obtain approval for appointment by means of submission, set out the nature of the appointment, financial and personnel aspects, as well as job information
• Verify the year of study in case of a student appointment and determine hours number of hours to be worked
• Write a motivation to the HR Director for any outside policy processes
• Calculate the financial implication for the appointments
• Inform finance department of debt recoveries if necessary
• Provide HR-related advice on policies and procedures
• Advise line managers in preparing for the budget
