Confirming continuous up-dating personnel records of TIS employees.
* To maintained establishment register of all TIS employees containing all possible information
about every employee.
* Updating employee’s changeable information on regular basis such as contact number, leave
status, Iqama renewals etc.
* To get daily strength reports of all on-going projects /shutdowns.
* To maintain and produce daily consolidated manpower report of all employees of TIS.
* To generate daily late arrival report of TIS office and weekly for all construction sites.
* Ensure daily attendance through time card punch machine or via Biometric system
* To maintain proper record of all TIS employees for all kind of leaves.
* Make sure time processing of annual leaves to get tickets and payments from head office well
before leaving of employees
* Monthly preparation of time cards /sheets for payroll every month.
* To maintain proper record of rental manpower.
* Monthly preparation and verification of time sheets for rental manpower.
* Maintain integrity of HR data and employees record in accordance with legal requirements and
best practices.
* Monitor daily & monthly attendance of Jubail and site offices.
* Monitoring of daily strength reports of all sites and consolidated DSR of TIS.
* To ensure timely closing of time cards, preparation of time sheets and monthly payroll.
* Vigilant monitoring of timely preparation of different PAF’ to cater employees different
requirements.
General Administration:
* To deploy admin assistants at site and periodically check smooth administrative functions.
* Allocation and shifting of furniture items according to authorization within office.
* Ensure proper maintenance and repair of office furniture and fixture.
* Ensure efficient and cost effective maintaining record of stationery, janitorial items, and
incoming/outgoing mail System.
* To make sure cost effective and controlled use of communication system.
* To ensure proper housekeeping in offices at workshop and construction sites.
* To ensure smooth functioning of IT system including photocopier operations
Travel and Hotel Management:
* To ensure proper travelling and accommodation arrangements for company officials and guests.
* To ensure hotel and flight booking as per entitlements for company officials.
Fleet Management:
* Proactive planning for hiring of vehicles (rental/leased) as per requirement.
* To maintain proper record of all vehicles, insurance, contract etc.
* Ensure cost effective use of vehicles to avoid idling.
* Ensure cost effective repair and maintenance of vehicles through insurance in case of accidents.
* Ensure timely availability of replacement in case vehicle repair.
* Replacement of vehicles through insurance company in case of theft / total lost.
* Ensure proper maintenance of logbooks, monthly vehicles usage report.
* Ensure proper record of fuel usage of all vehicles for verification purpose of monthly invoices.
Camp Management:
* To arrange camp as per requirement of planned manpower.
* To ensure accommodation for all employees as per entitlement.
* To ensure healthy environment in camp for employees and arrange recreational activities.
* Ensure timely and hygienic food arrangement in camp.
* Ensure proper record of all employees living in camp for man-days verification.
* Ensure proper record and track of every employee in camp so in case of emergency he can be
immediately traced.
Security:
* To ensure proper security arrangements at workshop and project sits.
* To ensure proper security system of inward/outward gate passes.
* Implementation of visitors control system by issuing employees and visitors passes.
* To ensure no loss or damage of company and personal belongings of employees.
Project Sites Administration:
* Deployment and monitoring of manpower on all projects as per deployment plan given by
planning department.
* Monitoring and making sure discipline at all construction sites by implementing company’s SOP’s
and policies.
* Periodical visits of all project sites for close coordination with site administration and site
construction team.
* Assist site administration team to make smooth functioning and avoid unrest at sites.
* Monitoring of time cards/time sheets on regular to control unexpected OT.
* Monitoring of daily attendance /absentee of all sites and ensures 100% attendance.
* Liaison with HRM for labor related issues to ensure compliance with KSA labor Laws and
company policies.
* Ensure timely preparation, process and issuance of Plant ID’s, stickers etc.
Liaison with GR section:
* Liaison with GR section for police reports in case of accidents.
* Arrangements chamber of agreements of different subcontractors and manpower suppliers etc.
* Coordination with GR-Section for plants IDs, vehicles stickers, route permission and any legal aid
required for smooth functioning.

Clients Information:
 To maintain complete list of plants, projects and clients
related company business.
 To keep himself updated about requirements for ID
processing of different clients.
 To maintain cordial relations with ID processing
departments of different clients.
 Make periodical visits to clients ID processing
departments.
 Client satisfaction and
timely preparation of ID
passes without any
wastage of man- hours.
ID/Access Passes Preparation:
 Close coordination with planning department and to
review latest plan and to get list of manpower &
equipment of different projects for preparation of
documentation for stickers/ID.
 To prepare every case in line with client requirements
along with all clear supporting documents before
applying ID/sticker.
 Ensure cross check of each case with check list before
submitting to GRO or directly to client.
 Make sure that no expired document should be
attached with ID/ Sticker application.
 Responsible to arrange required documents i.e photos,
blood group, Iqama copy and passport etc.
 Close coordination with HR for transfers of employees
for preparation of ID’s.
 Responsible to issue stickers/ID Access passes to
concern staff/equipment and retrieve back on
completion of job.
 Make sure timely renewal of stickers /ID’s before expiry.
 Arrange temporary/visitors passes as and when require.
