Responsibilities:
 Liaise with field offices and admin to ensure prompt and accurate
delivery of documents needed.
 Assisting in activities planning alongside the project.
 Collecting and analysing warehouse data including preparation of
contracts and agreements.
 To assist in preparation of documentation and enter the data of IRY
contracts and agreements.
 Manage the process of IRY rented warehouses.
 Coordinate with the field offices to ensure that the various aspects
of the contracts and agreements are carried out properly.
 Identifying areas of further needs of the project and following up
with country office.
 Conduct regular follow-up and with the project assistants and line
manager.
 Assisting the in reporting on the process as required.
 Complete weekly activity reports as well as provide reports on any
variations or problems with the contracts and agreements
implementation to the project officer, line manager and project
coordinator.
 Create database for warehouses details and Follow up for missing
information.
 Review all information and make sure the information matches (ID,
Property, Amount rent, PR).
 Prepare document payment and follow up finance department

ADMIN ASSISTANT

Responsibilities:
 Ensures follow up of the purchasing process until delivery of the
goods and ensures official handover of items against signature of
receipt.
 Ensure detailed completion and filing of all procurement
documentation including but not limited to PR, RFQ, PO, etc.
 Review, record and prioritize purchasing requests, ensuring all
supporting documentation is receiving and funding.

 Presents the procurement file to the Finance office and ensures the
payment in timely manner.

 Liaise with all departments in IRY and support them tender
information & reports.
 Makes sure all suppliers are legal and reports his supervisor in case
of illegal issues.
 Collect offers from potential vendors for all operations and program
requirements.
 Perform administrative procurement activities in a timely and
efficient manner
 Communication with field office to provide on time procurement
supports.
 Liaise with base level logistic officers for all tender related
procurements
 Support Procurement Officer in facilitating bids Committee
meetings.
 Requests price quotations from various suppliers for preparation.
 Update, manage and maintain relevant databases and records
 Communicate with suppliers for sampling and evaluation.
