Administrator Duties
Provides personal assistance/secretarial duties to the managing director on a daily basis
Responsible for undertaking office tasks under minimal supervision and delegates, manages and monitor staff
Maintain necessary documentation system for easy information retrieval
Develops administration policies and procedures and ensure that they are compiled with and maintained by all staff
Ensures all routine office correspondences are processed, mailed, faxed or emailed as directed
Follow up on pending licensing requirements for professional license, labor ministry and immigration
Ensures proper inventory control
Organization of office supplies as per the requirements of the company; Looks and checks for different suppliers for cost efficiency
Undertakes promotional and event management tasks in consultation with the management which includes coordination of printing stationary, marketing and promotional events, clients relation material
Monitors all types of insurances and renewals of the same if and when necessary
Hr Duties
Employee file development
Prepares time attendance reports, holiday and leave overviews, and maintains sick leave reports
Keeps confidential HR files likes contracts, salary information, incentives and bonuses
Handles document applications e.g. visa and labor applications
Responsible in preparing the WPS salary file as required by the UAE Ministry of Labor
Posting of advertisement for job vacancies and filters CVs and applications as per the company’s requirements
Front Desk Receptionist Duties
Greet and welcomes client
Answers all incoming phone calls and book appointments properly an resolve client inquiries where appropriate and route them to the concerned person if and when necessary
Ensures invoices are prepared and issued to clients and receive payments from them
Prepares end of day sales report and ensures that both cash and credit card transactions matches the sales report
Ensures all patient and client records are maintained, updated and accurately recorded
Dispenses all veterinary medicines provided by the veterinarian and explains to the client how to use them
Manages special interest areas e.g. sending reminders to clients, newsletter subscriptions
