Responsibilities :
• Overseeing office staffs, maintenance workers, contractors and other staff involved with the rental space for business purposes at the tower and ensure tenant are satisfied.
Job Function:
• Assisting and coordinating VIP guests from the government high levels in the tower (Ambassadors, Sheikhs).
• Coordinating meeting for Civil Defence and handling evacuation procedures for the tower.
• Coordinating and attend management meeting with the government department such as Supreme Council to be the translator and representative of Facility Management.
• Dealing with VIPs to issuing the confidential VIPS elevator code, parking and access cards
• Manage invoices for the replacement of access card and parking tags.
• Coordinating the tower events.
• Dealing with tenant focal point and handling tenant complaints.
West Bay Area.
• Scrutinizing Leave applications of employees as per Leave Roster and submit for approval and based on that forward it to G.H.R for issuing the necessary HR approval letter on a regular.
• Provide comprehensive administrative and secretarial support including typing, handling/distribution of incoming and outgoing mail/e-mail, internal paper work and telephone call/fax messages.
• Monitoring of employees documents of Site Office forwarded to Govt. Relation Section, Mannai Corporation for renewal and transfer of Residence permit of employees.
• Controls and acts as a custodian of office supplies and stationeries.
• Preparing and passing on requisite monthly HR reports to regional office in the middle east
• Coordinate meetings and relationships with client and supplier and the Managers of TMFMS.
• Manage the reception and security staff at all sites.
• Arrange training as required.
• To assist the General Manager to coordinate meeting and presentations relating to Business Development.
