• Responsible in monitoring all the vessels 24/7. Keeps all parties (vessels, port agents, charterers, surveyors, workshop etc.) informed and coordinated of vessel's schedules (ETA / ETD)
• Attends all vessels request at every port and make sure all necessary information and instructions among other things are passed to all parties of the vessels, port agents, charterers, surveyors, suppliers, workshops before arrival of the vessel at each destination port.
• Appoint vessel agent at each port and liaises with port agents as to port restriction and pre-arrival documents / info required at each port and inform the vessel and other party concerned for preparation and on time submission to agents and port authorities.
• Sends voyage instruction for vessels next engagement / next cargo loading to vessel in coordination with Port Captain
• Communicates with class surveyors, flag state inspectors.
• Arrange and appoints a cargo surveyor to carry out Pre-loading cargo condition / Quantity Survey at every port of loading and discharge as required.
• Make sure that all Cargo Documents (Bills of lading, Cargo Manifest, Cargo Plans) Cargo Survey Report and Tally Sheets as well as Charter Parties are received on time for each port and voyage.
• Arrange and follow up bunker / fuel / lubricants / freshwater supply for vessel as per requirements.
• Prepares inquiries, negotiates with suppliers, makes purchase equipment, spare parts and other supplies needed.
• Maintain Safety Management System which includes files of vessels certificates, ISM forms, and Checklist, survey reports and all other ships documents under the supervision of the DPA or Technical Manager.
• Reports directly to the Managing Director and attends to all his requirements.
