Manages the business unit and executes the full range of administrative, HR, Sales tasks to run the business operations efficiently. Establishes and implements record management, filing system, and organizing offices. Supervises Admin Staff to ensure the satisfactory standard of work performance. Prospects clients; arranges client visits. Provides a presentation to the client to introduce the full range of company’s products and services. Coordinates with company’s Director Architectural Products Division for product inquiries and request for quotation received from the client. Prepares commercial offer in collaboration with the company’s Director for Architectural Products Division. Negotiates quotation with the client, if necessary. Replies to queries for any clarifications regarding the quotation. Develops client data base. Prepares monitoring report of all the inquiries and summary of submitted quotation. Monitors competition by gathering data from primary and secondary sources (visits to prospects and clients, readings from specialized magazines, newspapers etc., visits to fairs and exhibitions, consultation of data banks and professional indexes etc.). Study and reviews the inquiries. Follow up the status of the projects. Monitor’s order and the arrival of the shipment of material to ensure timely delivery to the client’s premises; Ensure the smooth running condition of the business, in general.
Plans, develops and implements effective marketing communication approach. Organizes sales visits. Demonstrates and presents products. Establishes new business. Facilitates tenders and sales inquiries from the client. Gathers, collates and organize documents based on the tender requirements and ensure to meet the schedule of tender and/or quotation submission. Reviews tender documents and sales inquiries to validate and ensure the accuracy of Bill of Quantity and other relevant information. Prepares Request for Information (RFI) for any clarifications related to project information, collaboration with Technical staff to collect all the possible queries to the clients. Facilitates meeting with clients for any clarifications required on the tendering project (e.g., price, technical specifications and other related matters). Negotiates commercial offers and reviews contract. Coordinates with internal units to load the awarded projects. Facilitates all required submittals in coordination with support technical team. Attends Kick-off meeting for awarded projects. Monitors and ensures smooth flow of orders on-hand in coordination with the Technical In-charge.
Responsible for all employees’ based activity within an organization from both an operational and strategic perspective. Involved in many areas, such as: resource planning and recruitment; managing a variety of employee-related issues and being the first point of contact for all employee related issues. Oversee the company's salary review process, payroll and all compensation and benefits issues. Work closely and in support of the General Manager and other department heads.
Executive Secretary Functions:
Report directly to the General Manager. Handle daily appointments. Receive and screen calls and visitors. Record and remind immediate superior of meetings and appointments. Prepare minutes of the meetings. Participate in the company restructuring and re-organizing plans. Prepare drafts and finalizes procedures and policies. Coordinate with the General Manager for the over-all implementation of the flows and policies being prepared. Facilitate GM’s flight and hotel booking needs. Prepare correspondences. Facilitate administration requirements in support to HR department. Involve in various department meetings. Act as link between GM and department heads for any administrative requirements of each department.
Sales Operations Coordinator Functions:
Handle internal sales of signage and other services which include client’s inquiries, quotation preparations and order processing. Respond to client’s queries and clarifications. Follow up order and timely release or delivery of finished goods. Monitor the order to ensure the installation schedule is being met.
Executive Secretary Functions:
Report directly to the Vice President. Handle daily appointments. Receive and screen calls and visitors. Record and remind immediate superior of meetings and appointments. Prepare minutes of the departmental meetings. Oversee and monitor consumable supplies intended for department. Facilitate VP’s flight and hotel booking needs. Prepare departmental yearly budget for presentation to the President. Monitor department’s budget on a monthly basis. Prepare report of budget vs. actual to ensure proper utilization of department’s fund. Facilitate research and conduct ocular inspection for possible venues of departmental team-building and other related activities. Prepare correspondences.
Document Controller Functions:
Handle incoming and outgoing correspondences. Review documents prior submission to the immediate superior. Scan, record and route incoming and outgoing documents to concerned personnel. Responsible for the safekeeping and filing of the documents for easy reference.
Secretary Functions:
Admin Assistant. Coordinate with government agencies for the monitoring of status of employee’s membership contribution as part of employee’s welfare. Facilitate employee benefits, such as, loans and etc. Facilitate payroll processing. Other tasks as may assigned.
Purchasing Assistant Functions:
Review and validate orders submitted by requisitioning units. Prepare bid invitations, select qualified bidder, and secure quotations. Prepare Purchase Order to suppliers. Conduct research related to item’s availability and terms of payment. Follow up Purchase Orders ensuring that materials are shipped and delivered on committed dates. Prepare statistical reports, such as, status of Purchase Requisitions and Purchase Orders. Maintain records and files related to purchasing activities for easy reference. Perform clerical functions incidental to purchasing activities.
Accounting Personnel Functions:
Assist Accounting Supervisor on daily revenue monitoring. Receive statement of account from various suppliers. Facilitate preparation and releasing of cheques. Assist Accounting Supervisor in Annual Inventory. Monitor the approval of Payroll to ensure timely release of the employees’ salaries and forward the original payroll listing to the bank. Monitor company account balances for budget purposes.
