• Answer telephone and, take messages or transfer call to appropriate individual • Greet visitor and callers, handle their inquiries, and direct them to the appropriate person according to their need. • Keeping track of all incoming faxes and distributing to concerned department for taking action locate and attach appropriate files to incoming correspondence requiring replies. • Complies and maintains personal record • Responsible for preparing quotation and inquiries • Prepares outgoing letters and correspondents such as Memo • Coordinate various suppliers on regular basis • Act of other task as requested by the Resident Project Manager/Site Manger such as Safety Report/Poster and personal matters • Arranging the entry pass for company personnel, visitors and vehicles badges. • Schedule and confirm appointments for clients, customers or Managers. • Receives and sorts incoming mails and handles transmittals • Arranging and keeping track of all outgoing courier. • Preparing monthly stationary inventory report and maintaining the minimum stock level per items. Order and dispense supplies. • Scheduling Manager’s meeting, and keeping them updated of upcoming appointments and meetings. • Back up data • Asset Registry • Appointed First Aider for the Laydown Office. • Some PC trouble shooting and IT jobs occasionally • Vehicle Registry Record such as servicing for vehicles and tracking traffic violations • Petty cash for office expenses such as medical/supplies/groceries • Responsible for the accommodation for expats • Document Controlling - inward and outgoing • Edit drawings rev and title pad
