7 years experience of working as Secretary/Document Controller in oil and gas company.
• Excellent PC software skills that includes knowledge and experience in MS office (Word, Excel, PowerPoint).
• Preparing reports, memos and handling all correspondence.
• Typed reports, organized paperwork, photocopied and faxed
• Having an English communication skill, both verbal and written, and interpersonal skills to work in a multi-disciplinary and multicultural environment.
• Very cost conscious while taking a decision
• Self confident; hard working; work under pressure.
• Arranging the meeting.
• Easily adaptable with the team.
Handling queries, mails & faxes, answering phone calls as required and distributing the same to concerned departments/divisions.
Preparing documents and ensuring to collect official documents as required by the concerned manager.
Preparing time sheet.
Coordination with other departments / division as required.
Handling correspondence with principals / suppliers and clients.
Secretarial and front office work and data entry such as telephone index, incoming documents register, quotation register, LPO register etc..
Organize meetings, presentations, exhibitions and travel arrangements.
Carry out any other assignment as given by Project Manager
Ensure all governmental registration and other formalities are renewed
and updated as required.
Ensures to arrange travels and ticketing for employees as required.
Coordination of personnel mobilization and demobilization as directed.
Responsible to arrange Security Pass / Medical Card as requested.
Responsible for all vehicle registration and insurances and their renewal.
Coordinate with administration and ensure to update personnel files and scheduling leave plan for employees as required.
Handing all documents like RFI, Document Submittal/Transmittal, Technical Query, Method Statement, Risk Assessment, Shop Drawings, AS Built drawings, Engineering Drawing, Contract Documents, Outgoing documents, MIR,
Drafting all out going letters & email to client, supplier, contractor & head office
Preparing log sheet and updating weekly.
Preparing time sheet.
Preparing & handling petty cash,
Handling all site HR & administrative issues.
Arranging transportation for site worker and tracking all vehicles update like, maintenance, insurance, hiring rental vehicles/equipment.
Mobilizing new & transfer man power.
Issue materials request and follow up with supplier to reach to site and issuing GRN.
Arranging all the HR & Administrative duties as per schedule.
Working with very minimal supervision and controlling the cost of site.
Sending & receiving transmittal & parcel from head office & other site.
