The Document Control Manager duties include, but are not limited to, the following.
• Establishing a procedural framework for identifying, collecting, distributing, and filing the controlled documents for the Program. This involves writing and maintaining document control procedures and participating in the development and roll-out of document control tools, such as scanning hardware, computer software, etc.
• Ensure the information and management control system is implemented in compliance with the Client’s standard; and is updated to reflect revisions to those standards. Maintain awareness of new Client and/or Program initiatives that may impact the control or distribution of information on the project.
• Ensure the Project Team members are provided with adequate training and support to enable them to successfully use the procedure and systems in use by the Program. Proactively conduct “spot audits” and “over-the-shoulder-reviews” of Project Teams to facilitate their understanding of and enhance their compliance to Document Controls procedures.
Working with the construction of ACE Project Management - Arab Consulting Engineers ( Moharram - Bakhoum ) as Senior Document Control, performing the following duties:
1. Implementation of Procedures.
2. Establish control, and monitoring guidelines for receipt, logging, review, distribution and returning of contractor’s documentation.
3. Providing top management with daily, weekly, monthly & all requested reports related to the above mentioned documents.
4. Supporting project management with documents & reports to attend meetings.
5. Receiving architectural, electromechanical & structure technical documents like shop drawings, material submittals, requests for information (RFI), drawing field changes (DFC), drawing change notice (DCN), material plant inspection request & inspection requests from/to the contractor.
6. Receiving & issuing all the correspondences like letters, faxes, transmittal notice & E-mails to/from the office & making the necessary distribution.
7. Monitoring all the project documents by preparing a daily status report to insurer issuing the proper reply within the contract review period.
8. Logging the incoming & outgoing submittals.
9. Preparing reports for the monthly progress of the whole documents.
10. Coordinate with the project management for any missing data.
11. Follow-up with all Engineering by updated weekly List for Incoming Correspondence Status, not replied.
12. Receive all Tenders Documents check, stamp, scan and distribute it to all departments and keeping the original documents & shop drawings in our D.C. Department.
13. Head office document control will be in contact with the site document control for coordination and following up with all documents.
14. Time Sheets.
Working with the construction of “Engineering Construction Office (ENCO)” as Senior Document Control, performing the following duties:
1. Implementation of Procedures.
2. Establish control, and monitoring guidelines for receipt, logging, review, distribution and returning of consultants and contractors/supplier documentation.
3. Providing top management with daily, weekly, monthly & all requested reports related to the above mentioned documents.
4. Supporting project management & consultants with documents & reports to attend meetings.
5. Receiving & issuing architectural, electromechanical & structure technical documents like shop drawings, material submittals, requests for information (RFI), drawing field changes (DFC), drawing change notice (DCN), material plant inspection request & inspection requests from/to the contractor.
6. Receiving & issuing all the correspondences like letters, faxes, transmittal notice & E-mails to/from the office & making the necessary distribution.
