• Main duties & Responsibilities :-
• Monitor day-to-day operations and provide the needed assistance for any case/issue occurred.
• Following up and performing all the vessel's needs and services, from food provisions to oils, spare parts, renewing safety certificates, equipment, to fresh water, and more.
• Contact various suppliers and distributors to get quotations. Preparing proposals, requesting quotes, negotiating delivery time and purchase terms & conditions ( three offers at least for each request).
• Monitoring suppliers performance and resolving issues and concerns.
• Coordinating with the vessels agents/suppliers to ensure providing those services at its best and in timely manner.
• Negotiate with existing suppliers and source out potential new ones.
• Revising all different agents and supplier's invoices, making sure they are supported with their true documents and and our approvals we grant.
• Sending all invoices to the accounts, and following up with the transfer letters and swifts.
• Sending periodic statement of accounts to the agents and the suppliers, to confirm standing on the same balance.
• Making periodic analysis, providing monthly statistics and effective cost reduction strategies & solutions, and assist in improving my department role in general.
• Manage invoice life cycle process.
• Assists in gathering information and preparing budget reports and spreadsheets.
• Act as the initial point of contact; providing analytical support to the client as needed.
• Resolve any invoice/billing issues with vendors. (Working directly with the client & vendors)
