Liaise effectively with the Project Manager, Engineers, Site Staffs, and external contacts on behalf of the project office.
Coordinate and organize meetings/seminars within the project office, and with external clients, and assist with the preparation of presentations, agendas and minutes.
Provide efficient word processing, clerical, photocopying, filing and minute taking duties in respect of the Project.
Organize and coordinate travel requests for the Project Manager and other Engineers, relating to the project where and when required.
Maintains confidential records and filing of reports, correspondence and related material for ease of retrieval.

Processing all outgoing communication in the form of, letters, emails, voice messages or other forms of communication.
Receiving, registering, sorting and categorizing all incoming information to the department and getting it to the appropriate people in a timely fashion.
Scheduling appointments, meetings and personal appearances by the department manager.
Duplicating, filing, recording and logging of data shared between departments as per company standards and systems.
Answering phones, providing information and processing messages for the department manager.
Attending meetings, taking minutes and distribution of the same for all the attendees.
Recording and compiling of staff leave requests and approvals from the client and reviewing the consultant monthly payment prior to submission.
Supervising the support staff and ensuring all office policies and procedures are being implemented.
Secretarial and admin support to all site staff and coordination with Consultant head office for all their HR and Payroll related issues and information
Trained Project Timekeeper for the site employees
Any other duties as directed by the superiors

Project Profile
The project included a total of 10 Contracts, involving 8 contractors for the landscape maintenance and improvement works throughout Al Ain City and Eastern Region of the Abu Dhabi Emirate. The Consultancy staff included 20 senior engineers in the core team and 50 site supervision team.
