Assist with day to day queries of Estimation/contracts department and its duties.
Review & verify documents for completeness, format & compliance with Quality Procedure.
Maintain log sheet for Letter Of Intent (LOI), approved contracts & addendums.
Upload approved LOI’s, contracts & addendums on FTP for technical & commercial team.
Archiving files and ensuring all team members have access to necessary documentation.
Maintain Sub-coordinators list & their respective scope of works based on contracts.
Communicate effectively & positively with Sub-contractors regarding document status, revisions in BOQ or scopes & any other requests as assigned.
Monitor status to ensure on-time documentation submission.
Registering & distributing all incoming & outgoing mails.
Coordination with estimation & contracts team & assist when required.
Prepare & distribute weekly/monthly status report for staff to easily retrieve or access data.
Maintain document control register for tracking documents for the incoming & outgoing documents.
Expedite & maintain acknowledgments & responses to letters sent for review/comments.
Respond to queries regarding revision or status of issued letters, contracts & addendums or scope from technical & site request.
Filing & archiving of documentation to facilitate easy retrieval at a later date.
Process documentation and prepare reports relating to estimation & contracts.
Assist Sub-contractors with queries or status of their LOI or contracts.
Maintain confidential records and files.
Maintain records of decisions.
Maintain excel sheet using hyperlink to track & retrieve any data upon request.
Prepare correspondence, report and other documents.
Control Project Documents and tracking on Oracle Primavera.
Plans, direct & coordinate preparation of project documentation (engineering drawings, specifications, schedule & contract modifications to ensure compliance with contract requirements).
Monitor project status to ensure on-time documentation submission.
Review & verify project documents for completeness, format & compliance with Quality Procedure.
Schedule due dates for drawings, submittals, specifications, software, technical manuals & other documents.
Create new system on Oracle Primavera Expedition to follow up the entire project document drawings, submittals, materials & related entire documents for the project.
Uploading, registering & distributing all in-coming mails, documents, drawings, submittals through the Document Control Management System.
Coordination with the Reviewers & Contractors.
Communicate effectively & positively with document originators, users & project/client staff regarding document status, revisions & any other requests as may be assigned by the DC lead.
Prepare weekly/monthly status report to the Technical Coordinator.
Maintain document control register for tracking documents for the incoming & outgoing documents.
Ensure that the latest revision & approval status of drawings & submittals are kept updated continuously.
Expedite & maintain acknowledgments & responses to transmittals sent for review/comments.
Respond to queries regarding revision status of issued drawings/documents from engineering/drafting personals.
Manage soft copies & hard copies filing of project related technical documentation.
Filing & archiving of documentation to facilitate easy retrieval at a later date.
Sending of drawings Transmittals & Submittals to the Technical Department.
Maintaining Archive data for historical purpose.
Remote troubleshooting with the help of Instant Care Application.
