Working with the Chairman of the Department to supervise and handle day to day admin tasks as described below:
- Phone handling: Receive, direct and relay telephone messages
- Emails handling: responding, wiring and forwarding to the right department in a timely manner
- Maintain filing system of all subjects and file all correspondence
- Attend department council meetings, take minutes and follow-up to finalize
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Attend students & visitors, help and guide them according to their inquiries
- Handle confidential documents ensuring they remain secure
- Prepare departmental memo and letters
- Prepare stationery and other required items through ERP (Oracle based) System
- Assist and support Faculty members of the departments
- Photocopy and scan documents
- Type all documents of the department like memo, letters, reports etc., and make sure internal communications is being received by everyone
- Prepare requests of office supply inventory and order them when needed
- Perform additional assignments per Chairman’s direction.
