This position was responsible for buying of raw material, material planning, inventory monitoring. Review requisition and manage transactions with suppliers. Issuance of purchase orders & shipping docs. Proactively report product and material availability issues to production planning team. Coordination of supply chain management with other functional areas, such as sales, marketing, finance, production, or quality assurance. It required good hands on Microsoft Office and good knowledge of ERP
• Manage purchasing cycle including request for quotation, PO creation, PO follow up & goods receipt.
• Monitor stock in hand and review monthly forecast
• Negotiation with Suppliers and Shipping companies
• Ensure delivery on time in full
• Monitoring stock: Quantity & Quality
• working on achieving cost saving targets
• Production variance analysis in terms of Price, rate variance and quantity
• Liaise with operations & logistics for delivery.
• Weekly & Monthly reporting on all purchasing and logistics activities
• Timely placement dispatch and filing of orders
• Timely management and reporting of data
The inventory officer is responsible for preparing the purchase orders, receiving, storing, issuing the goods, managing the stock levels and giving out the supplies from the stock and also involved in preparing the inventories, maintaining the stock records, using computerized systems for entering the records and is accountable for checking the supply invoices with the purchase orders. We are responsible for preparing the reports on adjustments done to inventories that may be damaged, spoilt, etc., and coordinate the purchasing, inventory and warehousing functions. We find out sources of supply and are responsible for obtaining quotes from the suppliers as well. We make sure to get rid of the surplus or obsolete stock. The role of this professional can be understood in a better way by looking into the details as to what exactly are the key responsibilities that need to be carried out by an inventory officer working in any organization:
• Maintaining optimal stock levels to ensure timely availability of products.
• Managing an Inventory team comprising of Shift Managers and team leaders.
• Managing excess and ageing stock.
• Reviewing service levels on a continuous basis.
• Using electronic inventory tracking to scan stock and reconcile inventory.
• Minimizing exposure to obsolete and excess stock.
• Putting forward recommendations for operational policy, procedures and goals.
• Creating and maintaining spreadsheets to report and analyze data.
• Recruiting, hiring and managing a team of Inventory Counters.
• Maintaining effective business relationships with customers.
• Issuing purchase orders to customers.
• Presenting written reports and analyses to senior managers.
• Coordinating the shipment of goods from the warehouse.
• Sending reports and documents to customers.
• Investigating customer complaints.
• Using scanning terminals, and professional fixed asset tracking software.
