Technical and Executive Duties:
1. Serving as the first point of contact to the CEO office through answering, screening, and transferring incoming calls as well as receiving office visitors as appropriate.
2. Coordinating office operations and services and dealing with arising related problems, (phones, office supplies, electronics, etc.) while maintaining and strengthening relationships with service providers and vendors as well as addressing unsatisfactory vendor services.
3. Handling written communication on behalf of the CEO professionally through overseeing the proper preparation of correspondence, letters, and documents to ensure accuracy and clarity of presentation.
4. Carrying out financial reconciliation for CEO’s corporate expenses to ensure compliance with the set budget.
5. Establishing follow-up procedures to ensure that the CEO’s decisions are well communicated and properly implemented, as well as seeking presidents’ and directors’ inputs to support the CEO’s decision making.
6. Following up and tracking daily mail, archiving emails, and ensuring backup. In addition to maintaining the company’s filing system as well as maintaining related logs and records.
7. Receiving and responding to inquiries related to CEO’s work schedule for concerned staff external entities.
8. Arranging the times and places for the CEO traveling, meetings, appointments, etc. as well as coordinating logistics with concerned entities.
9. Collecting and consolidating periodical reports regarding operations, finance, and other relevant matters as requested by the CEO.
10. Arranging the CEO’s meetings with internal and external entities and following up on the issuance of the invitation letters before the meeting’s date, whilst ensuring they encompass the meeting’s agenda and discussion points.
11. Preparing meetings’ attachments, compiling their minutes and distributing them to the concerned parties, in addition to documenting the related decisions and disseminate them among the divisions/departments properly.
12. Performing any other duties related to the job as assigned by the direct supervisor.
Administrative Duties:
1. Conducting periodic meetings with subordinates to ensure that priorities are clear and workflow is running smoothly.
2. Preparing periodic reports with respect to the section/ office activities and achievements.
3. Ensuring that instructions, circulars and organizational and operational decisions are followed and applied.
