Related with Personnel:
▪ To undertake HR recruitment process for posts at all levels, including advising and support to
CMO and departmental in charges as required.
▪ To assist with the selection of staff participating on and advising selection panel when
necessary.
▪ To advise staff on interpretation and application of Terms and Conditions of service, policies,
and procedures and to keep abreast of any changes within these areas. To be the main point of
contact for any queries relating to the Terms and Conditions of Service and other policy matters.
▪ To process payroll administration including appointment, termination and change forms
accordingly.
▪ To assist CMO on disciplinary and grievance issues.
▪ To compile, maintain and update appropriate personnel records and statistics and prepare routine
reports/summaries as required.
▪ To initiate and assist Annual Appraisals of staff in accordance with the policy of the company
and issue increment letters as per decision of Appraisal Committee and up keep of records
accordingly.
▪ Preparation of internal reports for top management on personnel related matters e.g. Manning
Report, Staff Strength Statements etc.
▪ To supervise shift duty roster of staff to control overtime and optimum utilization of staff.
▪ To maintain complete confidentiality of all material and information related to personnel
affairs, and disclose the material and information only to authorized persons or organizations.
Related with General Administration:
▪ Assist CMO in administrative functions to identify best practices and pursue continuous
improvement for smooth functioning of the hospital.
▪ To supervise/manage the work of the admin staff and provide them short-term targets related to
their area of performance.
▪ Respond in an open and constructive manner to maintain good relationship between the service and
service users.
▪ To research and carry out ad hoc projects including design, implementation and review to improve
administrative systems, procedures and documentation.
▪ Promote and maintain effective communication with client companies and private patients.
▪ To deal with telephone enquiries and responding to matters or referring to the relevant official
as appropriate.
▪ To organize free medical camps/blood donation camps and other associated activities.
▪ To supervise Asset administration and inventory management.
▪ To look after Kitchen Services for patients and management of Kitchen.
▪ Handling daily cash receipts from Male, Female
receptions & Operation Theater. Preparation of daily cash summaries for finance department.
▪ Balancing patient accounts and generating private patients’ bills for services rendered by cross
checking expenses as per relevant documents to ensure accuracy.
▪ Processing refunds/receivables of private patients and maintaining relevant record.
▪ Entering relevant data in to Hospital Management
System.
▪ Preparing monthly billing reports, Cash Revenue and OT Income reports as required by Finance
Dept.
▪ Processing In-House Consultants’ bill claims through HMS and submission for onward approval
▪ Disbursement of Consultants’ payment cheques and maintaining cheque record.
▪ Managing Petty Cash fund and maintaining relevant record.
▪ Assist & preparation of annual Cash counts and Stock Taking reports.
▪ Dept. Stationary keeping and distribution as per requirement of hospital sections.
▪ Coordination with hospital departments (OT, Lab, X-Ray, Male & Female Indoor & OPDs) getting
relevant information to finalize Accounts documents.
▪ Carrying out procurement process of hospital equipment and material by placing Maximo
requisitions.
▪ Coordinating with ARL Procurement dept. for enquires, Inspections, Comparative statements as per
SOPs, and organizing Bid evaluation Committee meetings and following up for the orders placed and
goods delivery.
▪ To act & perform wide range of duties as Hospital Management System In charge/Coordinator and
acting as bridge between AHL, ARL IT Dept. & Developer for trouble shooting, modification &
upgradation of the system as required.
▪ Supervision of data entry process and providing assistance & guidelines to staff in operating
Hospital Management System.
▪ To perform assigned duties during Free Medical camps, Blood donation camps and other such
corporate activities.
▪ To Perform any other responsibility/task as assigned by management
